The only function I seem to have is to record the meeting. There is no option to select 'transcription'?

    Dear @Christopher Berry,

    I hope you’re having a good day.

In Microsoft Teams, Recording and Transcription are separate features. It is possible for recording to be available while transcription is hidden or disabled due to licensing, meeting policies, or permissions configured by your organization's administrator.

To better understand your situation, could you please provide a few additional details?

    • Are you the meeting organizer, co-organizer, or a participant in the meeting?
    • Are you using a Microsoft Teams Business/Work account or a personal Teams account?
    • Has the Start transcription option ever been available to you previously, or has it never appeared?
    • Do you see the same behavior in both the Teams desktop app and Teams web app?
    • Are other users in your organization able to access the transcription feature?

A few points that may be helpful:

    • Recording and transcription can be controlled independently by Teams meeting policies.
    • Your organization may allow meeting recordings while transcription is disabled.
    • In some environments, the transcription feature depends on the assigned Microsoft 365 or Teams licensing as well as Teams meeting policies.
    • If transcription has been disabled by policy, the option typically will not appear in the meeting controls at all.

If this is a work or school account, I would also recommend contacting your Microsoft 365 or Teams administrator to confirm:

    • Whether Transcription is enabled in your Teams meeting policy.
    • Whether your assigned license supports the transcription functionality available in your organization.
    • Whether there are any organization-wide restrictions affecting meeting transcription.

For reference, Microsoft provides additional information here:

I can't transcribe a meeting in Microsoft Teams | Microsoft Support

Admins- Manage transcription and captions for Teams meetings - Microsoft Teams | Microsoft Learn

If possible, please share a screenshot of the More actions (...) menu during a meeting (with any personal information removed). That would help determine whether this is more likely related to permissions, policy settings, or licensing.

Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

    Warm regards,

Use the tooltip on the locked Start transcription button to identify why it’s unavailable, then act based on the reason shown.

    1. In the meeting, hover over the lock icon on Start transcription.
    2. Match the tooltip text to one of these cases and follow the corresponding action:
    • “Guests can't start the transcription” or “Unavailable to people in a different org from the organizer”
The account is a guest or from another organization.
→ Ask someone from the organizer’s organization to start the transcription and share it after the meeting.
    • “Only people in this org can start transcription. Sign in to Teams to continue.”
      The user is anonymous.
→ Sign in with an authenticated account in the organizer’s organization.
    • “Unavailable for this meeting due to organization policy. Reach out to your IT admin to get access. If the policy is updated, it may take time to take effect.”
Meeting transcription is disabled in the meeting policy.
→ Ask the IT admin to enable transcription for meetings and wait for the policy to propagate.
    • “Unavailable for this call due to organization policy. Reach out to your IT admin to get access. If the policy is updated, it may take time to take effect.”
Call transcription is disabled in the calling policy.
→ Ask the IT admin to enable transcription for calls and wait for the change to take effect.
    • “Transcription is turned off for the meeting organizer by org policy. Reach out to your IT admin to get access.”
The organizer’s policy disallows transcription, or the meeting was created via Graph with allowTranscription set to False.
→ Ask the IT admin to allow transcription for organizers, or ask the organizer to close the meeting, enable transcription, and start a new meeting.
    • “Unavailable because the meeting organizer has disabled transcription for this meeting. Reach out to the meeting organizer for access.”
The organizer set Who can record and transcribe to No one.
→ Ask the organizer to change Who can record and transcribe to allow transcription.
    • “The organizer turned this off”
The organizer restricted Who has access to the recording or transcript.
→ Ask the organizer to change access to everyone or to designate specific people (for example, as co-organizers) who can start transcription.
    • “Unavailable because Copilot is turned off for this meeting. To enable it, ask meeting organizer or co-organizer to allow Copilot in meeting options.”
Allow Copilot is set to Off.
→ Ask the organizer to close the meeting, turn on Copilot in meeting options, and restart the meeting.
    • “Only meeting organizer and co-organizer can start transcription for this meeting. Reach out to the meeting organizer for access.”
Who can record and transcribe is set to Organizer and co-organizers.
→ Ask the organizer either to change this to Organizers, co-organizers and presenters or to add the user as a co-organizer.

If none of these apply, the IT admin or organizer must review the meeting options under Recording & transcription and the relevant Teams policies, as transcription availability is controlled there.
