Capturing audio, video, and screen content from Teams meetings for later review or sharing
Dear @Christopher Berry,
I hope you’re having a good day.
In Microsoft Teams, Recording and Transcription are separate features. It is possible for recording to be available while transcription is hidden or disabled due to licensing, meeting policies, or permissions configured by your organization's administrator.
To better understand your situation, could you please provide a few additional details?
- Are you the meeting organizer, co-organizer, or a participant in the meeting?
- Are you using a Microsoft Teams Business/Work account or a personal Teams account?
- Has the Start transcription option ever been available to you previously, or has it never appeared?
- Do you see the same behavior in both the Teams desktop app and Teams web app?
- Are other users in your organization able to access the transcription feature?
A few points that may be helpful:
- Recording and transcription can be controlled independently by Teams meeting policies.
- Your organization may allow meeting recordings while transcription is disabled.
- In some environments, the transcription feature depends on the assigned Microsoft 365 or Teams licensing as well as Teams meeting policies.
- If transcription has been disabled by policy, the option typically will not appear in the meeting controls at all.
If this is a work or school account, I would also recommend contacting your Microsoft 365 or Teams administrator to confirm:
- Whether Transcription is enabled in your Teams meeting policy.
- Whether your assigned license supports the transcription functionality available in your organization.
- Whether there are any organization-wide restrictions affecting meeting transcription.
For reference, Microsoft provides additional information here:

Admins- Manage transcription and captions for Teams meetings - Microsoft Teams | Microsoft Learn
If possible, please share a screenshot of the More actions (...) menu during a meeting (with any personal information removed). That would help determine whether this is more likely related to permissions, policy settings, or licensing.
Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.
Warm regards,
