Using classic Outlook for Windows in business environments
Dear @Lori Pratt,
I understand how critical it is to access your complete email history. Since you already verified that your Cached Exchange Mode slider is set to All, the issue usually points to a local view filter, missing server sync, or an active retention/archiving rule.
Here is how you can resolve this immediately step-by-step:
Step 1: Check Outlook on the Web (OWA)
Sign in to outlook.office.com with your Microsoft 365 Business account.
- If the missing emails appear online: The issue is isolated to your Outlook desktop client cache or view setting.
- If the missing emails are missing online too: Skip to Step 3 below.
Step 2: Reset Your Outlook Desktop View
A hidden view filter often conceals older items.
- Open Outlook Desktop and select your Inbox.
- Go to the View tab at the top ribbon.
- Click Reset View.
- Alternatively, click View Settings > Filter > click Clear All and select OK
Step 3: Check Your Online Archive & Retention Policies
Microsoft 365 Business environments often have automated retention or archiving policies enabled by default:
- Check your left-hand folder pane for a folder named In-Place Archive, Online Archive, or Archive.
- If an auto-archiving policy is active, emails older than a specific date range are automatically moved there to save primary mailbox space
Step 4: Rebuild Your Local Cache (If OWA has the emails)
If emails exist on the web but fail to display locally despite the "All" sync setting:
- Go to File > Account Settings > Account Settings.
- Select your email account and click Change.
- Toggle Cached Exchange Mode off, click Next, and finish.
- Restart Outlook, then repeat the steps to turn Cached Exchange Mode back on (ensuring the slider remains set to All) and restart Outlook again to rebuild the local cache (
.ost).

Please let me know which step worked for you or if the emails are visible on the web portal so I can assist you further.
