    Good day Stix

Thank you for sharing your concern.

Based on your description, the emails are likely being delivered to the mailbox successfully, but something may be moving, hiding, or reclassifying certain messages after they arrive. This can happen due to Outlook rules, Focused Inbox, folder filters, archiving actions, Junk Email processing, add-ins, or mailbox level policies.

Please try the troubleshooting steps below:

Option 1: Check Focused Inbox and the Other Tab

Focused Inbox automatically separates messages between the Focused and Other tabs. In some cases, messages may be moved to the Other tab instead of remaining visible in Focused.

    Open Classic Outlook.

    Go to your Inbox.

Check both the Focused and Other tabs.

If you find one of the affected emails in the Other tab:

    Right click the message.

    Select Move to Focused.

Select Always Move to Focused if you want future emails from the same sender to stay in the Focused tab.

Option 2: Search other mail folders

The message may be delivered correctly and then automatically moved to another folder.

Search for one of the affected emails using the sender name, sender address, or subject line.

Set the search scope to Current Mailbox or All Mailboxes.

Review the Archive, Deleted Items, Junk Email, Conversation History, any custom folders and any shared mailbox folders (if applicable) for relevant items.

If you locate the email, move it back to the Inbox.

After finding the message, review Outlook rules, mailbox rules and any archiving actions that may have moved it automatically.

Option 3: Review Classic Outlook rules

Rules can automatically move, delete, categorize, or redirect messages based on specific conditions such as sender, subject, keywords or domains.

    Open Classic Outlook.

Select File > Select Manage Rules & Alerts > Review all enabled rules carefully.

Look for any rule that could affect the sender, domain, subject line, or keywords related to the missing emails.

Temporarily disable any suspicious rule > Apply > OK.

    User's image

Ask the sender to send a test email or wait for the next incoming message.

Check whether the email remains in the Inbox.

If the issue is resolved, modify or remove the rule as appropriate.

Option 4: Check view settings and filters

Sometimes emails are still present in the folder but are hidden by the current view or filter settings.

    Open Classic Outlook.

Select your Inbox > Go to the View tab > Select Change View > Choose Compact.

Select Current View > View Settings.

    User's image

Choose Filter > Review all configured filters.

Clear any filters that could hide messages.

    Select OK.

If the issue persists, select Reset Current View to restore the default Inbox view.

Option 5: Test Classic Outlook in safe mode

Third party add-ins can occasionally affect how messages are displayed or processed.

    Close Outlook.

    Press Windows + R.

    Type:

    outlook.exe /safe

    Select OK.

Test with a message from one of the affected senders.

If the issue doesn't occur in safe mode, an add-in may be contributing to the behavior:

    Open Classic Outlook again.

    Select File > Options > Add-ins.

At the bottom, set Manage to: COM Add‑ins and select Go.

    User's image

Uncheck one add‑in at a time and restart Classic Outlook after each change.

    Option 6: Contact Microsoft Support

If the issue still persists after trying the steps above, I recommend reaching out to your IT administrator to create a support ticket via Microsoft 365 Admin Center > Support > Help & Support for further backend investigation. In case you do not know who is your IT admin, kindly refer to this article: How do I find my Microsoft 365 admin? - Microsoft Support

A technical support engineer can perform a remote session to investigate the situation, verify the backend configurations, and run any necessary synchronization tools to resolve the problem. If the issue requires further attention, they can escalate it to a specialized team for deeper analysis.

I hope this information is helpful. If you have any questions or need further support, please don’t hesitate to reach out at any time.

Thank you for your patience and understanding.

For Classic Outlook for Windows, the most likely causes are:

    1. A folder view filter is hiding specific messages If only certain emails disappear, they may still be in the folder but filtered from view.
      • In Outlook, open the affected folder.
      • Select View > View Settings > Filter.
      • Review these tabs for anything that would hide only some messages:
        • Tasks
        • More Choices
        • Advanced
      • Pay special attention to filters based on:
        • Date received
        • Keywords
        • Read/Unread status
        • Sender/Recipient
        • Importance
        • Size
    2. Cached mode is not showing messages even though they synced In Cached Exchange Mode, messages can be synchronized but remain hidden if they get stuck in the incoming item processing pipeline.
      • Close Outlook.
      • Start Outlook with:
             Outlook.exe /cleanips

      • If that does not fix it, resync the Inbox:
        1. Start Outlook.
        2. Right-click Inbox > Properties.
        3. On the General tab, select Clear Offline Items.
        4. Confirm the prompt that the data was removed from the .ost file.
        5. Select OK.
        6. Select the Inbox in the Navigation Pane.
        7. Press Shift+F9 to force resynchronization.
Warning: Clear Offline Items removes the local cached copy for that folder from the .ost file so Outlook can download it again. This is intended to resync the folder.
    3. If the account is IMAP and the disappearing mail is from Yahoo There was a known issue where read emails could disappear in IMAP-configured accounts, and Yahoo reported that a fix was deployed.

If the issue is only with some senders or message types, start with View Settings > Filter first. If the messages are visible in Outlook on the web or Online mode but not in Classic Outlook cached mode, use the /cleanips and Clear Offline Items steps.
