I organized a TEAMS meet last month but someone else set to record the session for writing her minutes. How to download and share the transcript?

Hi,

Based on my understanding, if you were the organizer of the Teams meeting, you should normally be able to access and download the meeting transcript, even if another participant started the recording, provided that transcription was enabled during the meeting.

To check and download the transcript, you can follow these steps:

  • Open Microsoft Teams.
  • Navigate to Chat and open the chat associated with the meeting.
  • Select Recap.
  • Click Transcript.
  • Select the Download dropdown menu.
  • Choose your preferred file format, such as .docx or .vtt.

Additionally, meeting organizers and co-organizers typically have permission to download transcripts after the meeting. While other participants may be able to view the transcript, download access is often restricted unless the organizer grants permission, depending on your organization's Microsoft Teams policies.

You may also be able to find the transcript through the meeting event in your Teams calendar. Simply open the past meeting and check the Recap tab. Generally, Teams transcripts are stored in the meeting organizer’s OneDrive for Business and remain available through the meeting chat and Recap section unless they have been deleted.

However, if you cannot locate the transcript, there are a few possible reasons:

  • Transcription may not have been enabled during the meeting.
  • Your organization's IT administrator may have disabled transcription or transcript downloads.

    If transcription was turned on during the meeting, the transcript is available from the meeting recap or call chat.

    1. In Teams, open Calendar and select the past meeting.
    2. Open Recap.
    3. Open the transcript.
    4. Download it in the available format. Teams transcripts can be downloaded as .docx or .vtt.

    To share the transcript:

    1. In the past meeting, go to Recap.
    2. Choose the transcript.
    3. Select Open in Stream.
    4. In Stream, select Share > Share.
    5. Use Link settings to choose who gets access and what they can do:
      • Can’t download to block downloads
      • Can view to allow viewing and downloading
      • Can edit to allow modifying, deleting, or moving the recording
