A Microsoft file hosting and synchronization service.
The blue cloud-with-folder icon indicates the OneDrive desktop app is available through the taskbar/notification area, but the full settings are accessed from the OneDrive app menu, not from File Explorer.
On Windows 11, use this path:
- Look at the far right of the taskbar for the blue or white OneDrive cloud icon.
- If it is not visible, select Show hidden icons.
- If still not visible, open Start, type OneDrive, and select OneDrive.
- From the OneDrive icon menu, select Settings.
Once opened, these are the main places to change sync behavior:
- Sync and back up
- Manage back up to choose whether Desktop, Documents, and Pictures are backed up to OneDrive.
- Advanced settings to adjust upload/download behavior and Files On-Demand options.
- Account
- View syncing locations.
- Use Choose folders for a synced library to control which folders sync to the PC.
If the issue is that clicking the icon opens File Explorer instead of the OneDrive menu, the most likely cause is that the OneDrive app is not running correctly in the notification area. In that case:
- Open Start.
- Search for OneDrive.
- Launch the OneDrive app.
- Then check the notification area again for the OneDrive cloud icon and open Settings from there.
If OneDrive still does not appear correctly in the notification area, install the latest OneDrive app.
If the goal is to control which files stay on the PC versus online only:
- Open OneDrive settings.
- Go to Sync and back up > Advanced settings.
- Choose how files are downloaded and stored.
- In File Explorer, right-click a file or folder and select:
- Always keep on this device to keep it offline
- Free up space to make it online-only
Status icons mean:
- Blue cloud = online-only
- Green circle with white check mark = always available on this device
- A file opened from online-only becomes locally available
