I'm struggling to save as files in MS365. There is not a SAVE A COPY function available under file. Likewise the MOVE FILE function is greyed out and not available. How can I save a file to my local hard drive rather than the defaulted OneDrive?

Which version of Word (Office) do you have?

In the full, desktop version running under Windows, you can always display the Save As dialog box by pressing F12 (or Fn+F12 on some keyboards). Browse for the location you want.

If the file is opening in a Microsoft 365 web app, that behavior is expected: Save and Save As/Save a Copy may not appear the same way as in the desktop apps because web apps save automatically to OneDrive.

To save a copy to the local hard drive from a web app:

    1. Open File.
    2. Select Create a copy.
    3. Select Download a Copy.
    4. The file is downloaded to the PC, typically to the Downloads folder.

If the app does show standard save options, a local save path is:

    1. Go to File > Save As.
    2. Select This PC.
    3. Choose the target folder, or select Browse to pick another location on the hard drive.
    4. Enter the file name and select Save.

If Microsoft 365 is defaulting to OneDrive in the desktop app, the save location can be changed during save:

    1. Press Ctrl+S or select File > Save.
    2. Open the Location drop-down.
    3. If the local folder is not listed, select More save options.
    4. Choose This PC or Browse, then save to the local folder.

For files already in OneDrive, another supported method is to use File Explorer and copy them to a local folder:

    1. In File Explorer, open the OneDrive folder.
    2. Right-click the file and select Copy.
    3. Open the destination folder on the hard drive.
    4. Right-click and select Paste.

In Windows 10 and 11, some systems save to OneDrive by default. That default save behavior can be changed.
