Based on your description, you're dealing with three separate Microsoft 365 account and permission issues, so I recommend addressing them individually.
1/ Invoice says you do not have access
- First, determine whether the invoice is:
- A normal attachment: The file is actually attached to the email, usually as a PDF.
- A shared link: Clicking it opens OneDrive, SharePoint, or another website.
- If it opens a Microsoft sign-in page, select "Use another account" and sign in with the exact email address to which the invoice was sent. Access is commonly denied when the browser automatically signs in with a personal Microsoft account or a different organizational account.
- If access is still denied with the correct account, then you need to contact the sender to verify whether you hare granted required permission to access it
2/ Staff member cannot sign in to use Word
- For the best possible assistance, please ask that staff member to share the full wording of the error message shows up when he/she tries to sign in.
- In the meantime, you can check the user license as an administrator:
- Sign into Microsoft 365 Admin Center > go to Users > Active users.
- Select the staff member > open Licenses and apps.
- Confirm that an appropriate Microsoft 365 license is assigned
- Expand the Apps dropdown and ensure Microsoft 365 Apps is enabled
3/ Update the billing payment
To update billing payment, you need to have an appropriate billing role, such as Billing Administrator, Billing Account Owner/Contributor, or Billing Profile Owner/Contributor, depending on the organization’s billing account type:
- Sign in at Microsoft 365 Admin Center with an account that has billing permissions.
- Go to Billing > Bills & payments > Payment methods > Add a payment method.
- Enter the new card and billing information > Save it.
- Use Replace to associate the new payment method with the applicable subscription or billing profile.
Note: If only the expiration date or billing address changed, you might be able to edit the existing card. If the card number changed, add it as a new payment method and then replace the old one.
