Teams Message Sync Issues

Question

When using both Teams client on Windows and Teams app on iOS when I'm sending messages on Windows and on iOS they don't always sync when I'm sending on both devices. I'll have to back out of the message window on iOS then back into the chat in order to see the full conversation again. Its missing messages or not syncing correctly.

This can happen when the iOS app temporarily loses or delays its live connection to the Teams service. The app then continues displaying an older locally stored version of the chat. Reopening the conversation forces Teams to retrieve the latest messages, which is why they appear afterward. 

Here are a few steps you can try: 

For Teams on your iOS 

1. Sign out and sign back in 

• Open Teams on your iPhone. 
• Tap your profile picture. 
• Scroll down and select Sign out. 
• Close Teams completely from the recent apps screen. 
• Reopen Teams and sign back in. 

2. Enable Background App Refresh 

• Open Settings on your iPhone. 
• Select Teams. 
• Enable Background App Refresh. 
• Enable Cellular Data if you use Teams over a mobile network. 
• You can also check this under Settings > General > Background App Refresh. 

For Teams on your Windows 

1. Repair Teams 

• In Teams for Windows, you can first try repairing the app by following the steps in the Repair an Office applicationarticle. Repairing the app may correct damaged app components without removing its data. If Repair does not resolve the issue, you can return to the same settings and try Reset. 

2. Clear Teams cache 

• If the issue continues after repairing or resetting the app, you can try clearing Teams cache following the steps here: Clear the Teams client cache - Microsoft Teams. Cached files can sometimes become outdated or corrupted, which may prevent the conversation from refreshing correctly across your Windows and iOS devices. 

After completing either step, reopen Teams, sign in again if prompted, and send a test message from both devices to check whether the conversation updates correctly. Additionally, please test the same conversation in Teams on the web and let me know whether the messages behave in the same way. This will help determine whether the issue is specific to the Windows or iOS app or also occurs in the web version.

For this Teams sync issue between Windows and iOS, use this troubleshooting path:

1. Refresh or restart Teams on both devices
   • On Windows, right-click the Teams icon in the taskbar and select Quit, then reopen Teams.
   • If a Refresh banner appears at the top of Teams, select it.
   • On iOS, pull down in the app to refresh messages.
2. Check whether the issue is only in the mobile app view Since the conversation updates after backing out of the chat and reopening it on iOS, test the same chat in Teams on the web. If the full conversation appears there, the problem is likely app sync or refresh behavior rather than missing data.
3. Sign out and sign back in to Teams In Teams, select the profile picture and choose Sign out, then reopen Teams and sign in again.
4. Verify notifications and mobile app settings on iOS If iOS is not refreshing reliably, check Teams mobile notification access:
   • In Teams, tap the profile picture at the top left > Notifications.
   • If notifications are off, tap Open settings.
   • In iPhone Settings, go to Notifications > Teams and turn on Allow notifications.
   • If Teams does not appear in iOS settings, uninstall and reinstall Teams.
