A family of Microsoft spreadsheet software with tools for analyzing, charting, and communicating data
Hi Evelyn Price
If the existing records refresh correctly but the newly added rows do not appear, one possibility is that the PivotTable is still using the original source range, so the new rows are outside that range.
Please try to select any cell in the PivotTable, then go to PivotTable Analyze > Change Data Source > Change Data Source and check the range shown under Table/Range. Make sure it includes the newly added rows, select OK, and then refresh the PivotTable again. Microsoft also documents that the source range of an existing PivotTable can be expanded to include additional rows.

If your source data is currently a normal cell range, you can also consider converting it to an Excel Table and using that table as the PivotTable source. This can be more convenient when rows are added regularly, since changes within the table are included in the table-based source.

If the source range already includes the new rows, please also check whether there are any filters applied to the PivotTable that could be excluding the new records.
If the issue continues, to better understand your situation, could you let me know whether the PivotTable source is a regular worksheet range, an Excel Table, or an external source/Power Query?
I hope this information is helpful and look forward to your response.
