Why has the font of my outgoing emails changed in the recipients’ inboxes, even though my email settings are set to Calibri, Regular, size 12?

    Hello Mohamed Saleem,

Thank you for sharing the detail. To help me narrow down the cause, could you please confirm the following?

    • Does the font change for all recipients or only for certain recipients?
    • Which font do the recipients see instead of Calibri? If possible, please share screenshots of the message in your Sent Items folder and the same message as displayed in the recipient’s inbox for comparison.
    • Does the issue occur with newly composed emails, replies and forwarded messages, or both?
    • Do you copy and paste the email content from Word, a website, or another email?

Please hide all email addresses, names, and other sensitive information before sharing the screenshots.

As explained in the AI-generated answer, the font displayed by the recipient is not controlled only by the sender’s Outlook settings. If Calibri is unavailable on the recipient’s device, the recipient’s email application may substitute another available font. Different email applications, such as Outlook on the web, Outlook mobile, Apple Mail, or other clients, may also render the email’s HTML formatting differently.

Please also verify the font settings in Classic Outlook by going to: File > Options > Mail > Stationery and Fonts

Check New mail messages and Replying or forwarding messages separately, as Classic Outlook manages these font settings independently. Confirm that the font, style, and size are set correctly in both sections.

Font command in the Signatures and Stationery dialog box

For detailed instructions, please refer to:

If the content is copied from Word, a website, or another email, it may carry hidden HTML formatting or styles from the original source. The text may appear as Calibri while composing, but some parts of the underlying formatting may still specify another font.

As a test, please create a completely new HTML email, type a few lines directly in Outlook using Calibri 12, and send it without pasting content or adding a signature. Please let me know whether the recipient still sees a different font.

    Kind regards,

This can happen even when Outlook is set to Calibri, Regular, size 12 because the font seen by recipients is not controlled only by the sender’s Outlook settings.

    Two supported causes are documented:

    1. Recipient font substitution In classic Outlook, if the font chosen for the message is not installed on the recipient’s computer, the recipient’s mail program substitutes an available font. That can make the message appear in a different font.
    2. Cross-platform font size conversion If messages are sent from Outlook for Mac to Outlook for Windows or Outlook Web App, the text can display at a different size than the original because of pixel-to-point or point-to-pixel conversion between Mac and Windows. This behavior is by design.

If the concern is with Classic Outlook for Windows, the configured compose font only controls how new messages, replies, and forwards are created in Outlook. It does not guarantee identical rendering in every recipient inbox.

To verify the sender-side settings in Classic Outlook:

    1. Go to File > Options > Mail.
    2. Under Compose messages, select Stationery and Fonts.
    3. Under New mail messages and Replying or forwarding messages, select Font.
    4. Confirm the selected font, style, and size.

If needed, reset to Outlook’s documented default values:

    • Font: +Body
    • Font style: Regular
    • Size: 11
    • Font color: Automatic
