What I do now is: before setting up an email account I can add a new data file on the Data Files tab on the Account Settings window. Then when I setup email account I can use an existing file instead of letting Outlook create a new file. But this is cumbersome.
According to your description, I notice that you want to add a POP account with an existing Outlook Data File, right? If so, we can easily do this via Control Panel>Mail>Show Profiles>add>type a name>OK>choose manually setup or additional server types>Next>POP or IMAP>select "Existing Outlook Data File".
How to change the default outlook data file name when creating a POP3 email account
After filling in all the information in the above steps, click "More Settings". You just need to type the name you need under General tab, then it will be the name of the Outlook data file.
If you have already added your POP account, it is suggested that you could go to File>Account settings>Account settings...>Date Files tab>choose your account, and double click>change the name>ok.
