Create OneNote calendars using Outlook

The Office Online Templates site offers popular monthly, daily, and year-at-a-glance calendars for OneNote. Our secret? We use Outlook to print calendar views to OneNote.

We thought...that you might be interested in creating your own calendars, so here are the basic steps!

Part I: Select and print a calendar view

1. Open OneNote to any notebook or section, and then create a new page. (You need to open OneNote before you can print to it from Outlook.)

2. Open Outlook and go to the Calendar view.

Tip: Outlook will send any information you've already saved to your calendar over to OneNote. If you haven't done so already in Outlook, you might want to added holidays or other events to your calendar before creating the OneNote version. 3. Click File, click Print, and then in the Printer Name drop down menu, click Send to OneNote 2007 (not your default printer).

4. Under Print Range, select the start and end date for the calendar.

5. Under Print Style, choose the calendar style that you want, and then click Page Setup to choose the hours of the day, notes area style, and other options that you want your calendar to display in OneNote.

Important! If for any reason you do not want your personal information to appear in the OneNote version of the calendar, click the Header/Footer tab and then delete the [User name] field.

6. Click OK to save your changes, and then click OK in the Print dialog box and wait while Outlook prints your calendar to OneNote.

You should see OneNote flashing in your task bar when the calendar has finished printing. Now to set things up in OneNote…

Part II: Move and format your calendar in OneNote

Because Outlook prints the date ranges you selected to a single page in your unfiled notes, you need to cut or copy and paste each calendar view – day, week, or month - into your desired location in OneNote.

Important! Cut or copy and paste starting with the second page in the calendar. If you cut the first page, OneNote will automatically remove all of the remaining calendar pages from your unfiled notes.

1. In your unfiled notes, select and cut the second page of the calendar you’ve created.

2. Go to the notebook or section where you want to save the calendar, click New Page, click anywhere on page below the title area, and then paste in your calendar page.

3. To be able to add text or images over the calendar, right-click the calendar image and then click Set Picture as Background.

4. Type a title for the page, typically the date or dates displayed on the page, and then go back to your unfiled notes (by clicking the Unfiled Notes icon in the lower left of your OneNote window).

5. Repeat steps 1 to 4 until you’ve created new pages for each view of your calendar.

6. If you haven’t already, go back to the first page of the calendar in your unfiled notes and then cut or copy and paste it to the final location in OneNote by repeating the steps above.

Tips for creating calendars:

· If you accidently set up calendar days, weeks, or months in the wrong order in OneNote, you can quickly drag and drop pages into the correct order by using the page title tabs.

· To consistently align calendar pages in OneNote, try turning on rule lines and using one of the rule line options on the Format menu. That way, you can drag each calendar image to the same location on the page (or press the ALT key while dragging it to avoid “snapping to the grid”), and then turn off the rule lines to use your completed calendar.

· To customize the calendar view that you print to OneNote, such as displaying room for notes, experiment with the Page Setup options from the Print dialog in Outlook.
