Format invoice proposal (form)

Click Project management and accounting > Common > Project invoices > Project invoice proposals. On the Invoice proposals list page, select an invoice proposal with a status of Open. On the Action Pane, in the Print group, click Format invoice proposal.

Use this form to create a customized invoice for a customer. You can select transactions from the list of available transactions to include on the invoice, and create invoice summary sections to group the transactions together. You can also write header text that is printed on the invoice.

Note

If you are creating an invoice for a project that has billing rules, the Available transactions and Selected transactions FastTabs contain fields that are related to the billing rules. These fields differ from the fields that are displayed for a project that does not have billing rules. These fields are described later in this topic.

If you are using Microsoft Dynamics AX 2012 Feature Pack or Microsoft Dynamics AX 2012, this form is available only if the Project Management and Accounting Add-in is installed.

Invoice line summary

Specify the invoice lines that you want to include on the invoice, and arrange the order in which they are printed on the invoice.

Selected transactions

View the list of transactions that you selected on the Available transactions FastTab for inclusion on the invoice.

Available transactions

Select the transactions that you want to include on the invoice from the list of transactions that are available to be invoiced.

Invoice header text

Type the text to be printed in the header of the invoice.

Open a preview that shows how the invoice will look when it is printed.

Detail/Summary 
(On the Invoice line summary FastTab)

Select the level of detail that you want to display for the selected transactions:

  • Detail –Display the details for all the selected transactions.

  • Summary –Display a summary of the details of the selected transactions. This is the default option.

Invoice line description

Enter a description for the invoice transaction.

Invoice line amount

The total amount for the invoice line, calculated by adding the total amounts of all transactions that were selected for inclusion in the invoice line.

Transaction type

The type of transaction, such as expenses or hours, for the project.

Project

The identification number of the project for which the invoice transaction was created.

Transaction text

A description of the transaction that is displayed on the invoice.

Category

The category of work for which the invoice transaction was entered.

Transaction date

The date on which the transaction was posted.

Line amount

The total invoice amount for the selected transaction.

Header

Enter the text that appears in the header section above the invoice lines on the invoice.

The controls in the following table are displayed only for a project that has billing rules. These controls are displayed on the Available transactions and Selected transactions FastTabs.

Billing rule line type 
On the Selected transactions and Available transactions FastTabs)

The type of billing rule. The billing rule type can be one of the following values:

  • Lump sum – Create a project invoice when a project is complete.

  • Progress – Create an invoice when the progress on a project reaches a specified state.

  • Time and material – Create an invoice when hours and items are posted to a project.

  • Fee – Create an invoice for fees that the customer agrees to pay for managing a project.

  • Unit of delivery – Create an invoice when a specified part of a project is complete. For example, you create an invoice when the first training session in a series of training sessions is delivered.

Billing rule

The identification number for the billing rule.

Billing rule name

The name that is assigned to the billing rule.

Scheduled value

The total amount that can be invoiced for the billing rule.

Invoice amount

The total invoice amount for the selected transaction.
