Parameters for the export of a financial statement (form)

Click General ledger > Reports > Transactions > Financial statement (traditional). In the Output type field, select Export to. Select a primary dimension set. On the Export to tab, in the File format field, select a file format that lets you adjust data that is exported to the file, such as ASCII. If no file formats are available, you must click Setup to set up the file formats. For more information, see Set up file formats for the export of a traditional financial statement. Click the folder icon next to the File name field. Enter the name of the export file and select the folder it is saved in. Click Save. In the Financial statement (traditional) form, click OK. The Parameters form for the export of a financial statement is displayed.

Use this form to make selections in the fields to format the data of the financial statement in the export file. Default values are provided. Therefore, you only have to make selections in this form if you have to change those default values.

The formatting that you select for the export of a particular financial statement (a statement with a specific combination of financial statement name, export format, primary dimension set, primary dimension set row definition, secondary dimension set, and secondary dimension set row definition) is saved for the next export of a financial statement with the same combination of parameters. If you select a combination of parameters that has been used before, the appropriate formatting, if any, is applied automatically. You can revise the formatting before the export, as is appropriate.

The following table provides descriptions for the controls in this form.

Description

Default with report setup

Select this check box to apply the settings of the rows and columns of the financial statement to the rows and columns of the export file.

If the check box is cleared, you can change some of the settings on the rows and columns. Regardless of the row and column settings, the column structure remains the same. However, some rows are displayed or hidden, depending on the selections in the File row structure section.

Include column name

Select this check box to insert column names at the start of the file.

Export detailed row formatting

Select this check box to export row formatting codes, such as bold, italic, and underscores.

Field separator

Select the punctuation mark to use as the field separator in the export file.

Decimal separator

Select the punctuation mark to use as the decimal separator in the file column structure.

Thousands separator

Select the punctuation mark to use as the thousands separator in the file column structure.

Show zero

Select how to display a value of zero:

Auto – The original settings for the printing of the financial statement apply to the export.

Yes – Always display zero in the export file.

No – Never display zero in the export file.

(File column structure)

Invert sign

Select how to invert the sign of amounts in the file column structure when the information is printed.

If you originally selected the Invert sign check box for a column in the Financial statement (traditional) form, all values in the column have inverted signs in all the rows when they are printed.

In the export of the financial statement, you can select from the following options to maintain or revise the original sign inversion settings on the columns:

Auto – The original settings for sign inversion in the printing of the financial statement apply to the rows of the export file.

Yes – The Invert sign check box is selected for all columns in the export file.

No – Any selections of the Invert sign check box in columns of the financial statement are cleared for the export.

Note

The selection in this field should be coordinated with the selection in the Invert sign field for the file row structure. If you have a double sign inversion, which is an inversion in both columns and rows, the result is no inversion.

Decimals

Enter the number of decimals to export for amounts in the column structure.

Export hidden fields

Select how the hidden rows are exported:

Auto – The original settings for the printing of the financial statement apply.

Yes – All hidden fields are exported.

No – No hidden fields are exported.

Export headers

Select how the header rows are exported:

Auto – The original settings for the printing of the header rows on the financial statement apply to the export.

Yes – All header rows are exported.

No – No header rows are exported.

Export subtotals

Select how the subtotal rows are exported:

Auto – The original settings for the printing of subtotals on the financial statement apply to the export.

Yes – All subtotal rows are exported.

No – No subtotal rows are exported.

Export subcomponents

Select how the row subcomponents are exported.

When you create a financial statement, you can specify a row structure that has multiple levels, and then select or clear the Print subcomponents check box for parent rows.

Auto – Only subcomponents of parent rows for which the Print subcomponents check box is selected are exported.

Yes – All subcomponents are exported, regardless of the setup of the parent row.

No – Only parent rows are exported. No subcomponents are exported.

(File row structure)

Invert sign

Select whether to invert the sign of amounts in the file row structure when the information is printed.

If you originally selected the Invert sign check box in the Structure designer form in a row in the financial statement, all values in the row have inverted signs across the columns.

In the export of a financial statement, you can select from the following options to maintain or revise the original sign inversion setting:

Auto – The original settings regarding sign inversion in the printing of the financial statement apply to the rows of the export.

Yes – All signs are inverted in the rows of the export.

No – Any selections of the Invert sign check box in rows on the financial statement are cleared for the export.

Note

The selection in this field should be coordinated with the selection in the Invert sign field for the file column structure. If you have a double sign inversion, which is an inversion in both columns and rows, the result is no inversion.
