As enterprises move from a few agents to hundreds, each agent needs identity rules, data and compliance controls, threat protection, and oversight. Deciding those one agent at a time doesn't just take longer; it lets governance fall behind as adoption accelerates, so the fastest-moving organizations are the first to lose control. Agent 365 policy templates break the link between how fast an enterprise adopts agents and how quickly it loses control of them, so governance keeps pace with adoption instead of becoming the bottleneck.
Why drift creates risk
Configuring each agent separately produces drift. Small differences accumulate until no two agents are governed quite the same way, and the gaps between them are where risk hides. Drift also puts a growing agent population beyond practical audit, because establishing how any one agent is governed means reconstructing its controls one setting at a time.
What a policy template is
The value is that an agent is governed from the moment it goes live, rather than whenever someone gets to it. An Agent 365 policy template is a pre-built collection of governance and security policies that an administrator applies to an agent when it is activated or published, rather than configuring agent controls case by case.
A single template bundles predefined protections from across the Microsoft stack: identity policies from Microsoft Entra, data and compliance controls from Microsoft Purview, threat protection from Microsoft Defender, and access controls for SharePoint Online. The direction is for that set to keep widening, so one template reaches more of the services an agent uses.
Applying one template settles many decisions at once, from which data an agent can reach to what it may do and how closely it's watched. Adding an agent stops meaning adding a governance project.
That is also what stops the drift. Agents of the same kind are consistently held to the same standard, and a reviewer can confirm that an agent carries the expected template rather than checking it setting by setting.
The demanding work, agreeing what those controls should be, happens once and where the expertise lives. Security, compliance, and IT settle on a shared template, or start from one Microsoft provides. From then on, an administrator applies that template centrally whenever an agent is activated, rather than rebuilding the controls each time.
Beyond the default baseline
Microsoft's default templates give organizations a starting point, covering essentials like lifecycle management (governing an agent from creation to retirement) and restrictions on external content sharing. Few enterprises govern exactly alike, though, so Agent 365 lets an organization define custom templates tailored to its own risk tolerance and compliance obligations.
A custom template can carry an organization's own identity rules: the conditions under which an agent is allowed to sign in at all, access grants that come with their own approval and expiry rules, and identity attributes the organization defines for itself. All three come from Microsoft Entra. This matters most in regulated industries, where one governance baseline may need to apply across hundreds of agents, and where "each agent was set up separately" is not an answer an auditor will accept.
From manual selection to automatic rules
Today, an administrator with Agent 365 can apply a template across a group of agents as they're activated. The next step is automation: rules match agents by conditions such as the platform they run on or who published them, apply the right template to an entire class on their own, and keep it applied both to agents already running and to each new one as it appears. Governance shifts from a hands-on choice at activation to a standing policy an organization's agents follow on their own.
Templates change what governance costs. When controls are decided once and applied the same way to every agent of a kind, an enterprise's capacity to run agents stops being limited by its capacity to configure them. That is what makes Agent 365 policy templates a scaling mechanism rather than a convenience.
