Publish and share an app in Microsoft Copilot Studio so your users can use the latest version. Publishing updates the app that users can run, while sharing controls who can open and use it. This article also explains how environment and data permissions affect app access.
Understand publishing and sharing
Publishing and sharing are separate actions:
- Publishing makes the latest version of the app available to the people you share it with. Publish after you test the main scenarios in preview.
- Sharing grants people or groups permission to open and use the app, subject to your environment's policies. Sharing doesn't grant permission to collaborate on or edit the app's design.
Changes you make after publishing aren't available to app users until you publish again.
Publish an app
Publish an app when you test its main scenarios in preview and you're ready for people to use it.
- Open the app in Microsoft Copilot Studio and test the main scenarios in preview.
- Select Publish.
- Review any validation messages about build status, connections, policy, or required settings.
- Confirm publishing, and wait for the published version to become available.
- Open or copy the app's URL and check that the published app works the way you want it.
Share an app
Share an app to grant people or groups permission to open and use it.
- In the app, select Share.
- Choose a supported sharing method, such as specific people, a Microsoft 365 or security group, or an environment-permitted link.
- Review the data access and connection information shown when you share the app.
- Send the invitation or copy the app link.
The app's environment and your administrator's sharing policies control the sharing methods and access levels available to you. If a sharing choice isn't allowed by policy, the product hides that choice or explains why the share is blocked.
Data access and consent
Apps access connected data on behalf of the signed-in user. A person who opens an app can't retrieve data beyond what they're already permitted to access, and they might need to create or consent to a connection at runtime.
Important
When you share an app, ensure the people you share it with also have access to the underlying data the app uses, such as the SharePoint list or Dataverse table it connects to. Sharing an app doesn't give them access to that data. They might also need to consent to a connection the first time they use the app. Learn more in Manage data in your app (preview).
