These frequently asked questions (FAQ) describe the AI impact of memory for Copilot Studio agents with an account.
How does memory work for an agent with an account?
Memory lets an agent retain what it learns in conversations, such as preferences, context, and how work gets done, and apply it in later conversations. In an agent with its own account, that memory is shared. The agent keeps one memory across everyone it works with, so what one person explains benefits the whole team.
Shared memory holds two kinds of information: facts about the work, such as team processes and terminology, and details about individual people, such as how someone prefers to receive updates. Anyone who works with the agent can benefit from what it remembers. That also means anything the agent remembers can surface in conversations with others, so people should share only what they'd be comfortable sharing with the team.
How are users alerted to shared memory?
The agent's People card displays this notice: "Any files or chats you share can be summarized and included in the agent's responses to any user, even users without permissions to the files or chats and regardless of sensitivity label."
The first time someone talks to the agent, it also says: "These memories may include summaries of files and chats you share and can be used in my responses to any user, even those without permission to access the original content, regardless of sensitivity labels."
Someone may see information in an agent's response even if they can't access the original file or chat.
How is memory different for these agents?
An agent with its own Microsoft Entra account works alongside a team in Teams and Outlook. It uses shared memory rather than the personal memory described in Memory (preview), even in one-to-one chats.
Who can see shared memory?
Anyone who works with the agent. A record about one person can be used in later conversations with other people. The agent is guided not to bring up one person's details with someone else, but shared memory has no privacy boundary between users.
Who can view or delete saved shared memories?
Everyone who interacts with the agent can view or delete its saved shared memories.
How long does the system retain shared memories?
If no one interacts with the agent for 28 days, the system automatically deletes its shared memories.
Can I opt out of shared memory?
No. End users can't opt out of shared memory in this preview. By using the agent, you consent to its use of shared memory.
Can an admin turn off shared memory?
No. In this preview, shared memory can't be turned off independently of agent accounts. To turn off shared memory, an admin must turn off agent accounts altogether.
What doesn't shared memory keep?
Shared memory excludes:
- Personal details such as ID numbers, birth dates, account or card numbers, personal phone numbers, and home addresses
- Passwords, credentials, secrets, and tokens
- Anything someone asks it not to remember
- Judgments about anyone's performance or conduct
- Health information
- Protected characteristics such as religion, disability, or immigration status. When it matters for the work, the agent keeps only the practical effect, for example "attends the offsite remotely", not the reason.
- Information already in the agent's instructions or knowledge sources
- Conclusions it inferred, or generalizations from a single remark
When something the agent remembers conflicts with its instructions, it's guided to follow the instructions and correct the memory.
How can I give feedback on agent accounts?
You can provide feedback for Copilot Studio.
