Release notes for Outlook for Windows (new)

Outlook for Windows (new) is updated regularly to provide new features, performance improvements, bug fixes, and security updates. These release notes provide more information about those changes.

Note

Outlook for Windows (new) is currently not available in Azure Government. Please check the roadmap for any future announcements.

  • Offline "Days of email to save" expanded to 30 days: The default mail sync window in offline mode has been expanded from 7 days to 30 days.
  • Offline search folders: Search folders, which help users group emails based on certain criteria, are now available while offline.
  • Move emails between accounts: Consumer users can now seamlessly move emails between their personal accounts, streamlining organization and productivity. For Enterprise users, this feature is off by default and is controlled by a policy managed by administrators. By enabling this policy, admins can grant their users the ability to move emails between accounts in a way that aligns with organizational needs and policies.

  • Sharing Copilot in Outlook: When logged into Outlook with an account that has access to Copilot Pro or AI credits through a Microsoft 365 Personal or Family subscription, Copilot features will be available for all connected email accounts. This includes Outlook.com, Hotmail.com, Live.com, MSN.com, and third-party providers such as Gmail, Yahoo, and iCloud, as long as they are logged into Outlook on the same device. Learn more here.
  • Get email coaching with Copilot: Have an important email to write and want to feel confident that it effectively conveys your intended message? With Copilot in Outlook, you can get helpful suggestions on how to adjust the tone, clarity, and reader sentiment before you hit send. Learn more here.
  • Disable Copilot in Outlook: To disable Copilot, open the Settings window and visit the "Copilot > Copilot control" page. From there, you can switch the "Turn on Copilot" control off.

  • Notification batching: Batches are groups of cards in the user's Notification pane separated by subject. Items from the same email thread, document, sheet, etc. will be grouped into a single batch.
  • Category management for delegates: Delegates can now create new categories on behalf of the person who granted them permissions. They can also apply said categories to the Calendar of that same person who granted them permissions. Delegates can view the list of the delegator's Categories by visiting the Accounts > Categories page of the Settings window and selecting the delegator's account from the dropdown. Learn more

  • Delete invitations from Inbox after responding: You can enable/disable this new meeting invite option by visiting the Calendar > Events and invitations > Invitations from other people section of your Settings window.
  • Organize and reorder your folders: You can now arrange your folders in any desired order by dragging and dropping them in the position that you want.
  • Pin favorites: Easily access your most-used folders by pinning them to the top of your Left Nav Bar. This feature streamlines navigation, ensuring your important folders are always within reach.
  • Folder icon colors: We’re introducing the ability to customize folder icon colors in the new Outlook. This feature lets you change the color of folder icons, making it easier to differentiate and personalize your folders visually.
  • "None" color category for Mail and Calendar: This update provides more flexibility and customization in categorizing your emails and calendar events. By selecting the "None" option, users can now choose to have items without a designated color, allowing for cleaner organization and more control over which items stand out visually.

  • Microsoft 365 admin center - Apps usage report: View and monitor migration progress for the new Outlook for Windows through a new chart added to the Microsoft 365 Apps usage report.   • Visual updates in Mail: Fluent V9 and style updates have been applied to the Compose Draft Tabs and Focused/Other experiences, respectively.

  • S/MIME: S/MIME (Secure/Multipurpose Internet Mail extensions) signing and encryption is now supported. All new and existing S/MIME configurations will work without any explicit action from your administrator(s).
  • Custom folder ordering: Users can arrange folders in any desired order by dragging and dropping the folders in the position they want. To get started, ensure that the Folder pane > Sort folders > Custom folder order option is selected in the View tab of the ribbon.
  • Enjoy the benefits of your Microsoft 365 or Copilot Pro subscriptions in Outlook: Activate subscriptions from accounts that don't have a Microsoft mailbox - either personal Microsoft accounts set up with a non-Microsoft email address (Gmail, Yahoo, etc.) or accounts provided by your work or school administrator.   • Receive Calendar notifications even when Outlook is closed: You can now receive Calendar notifications on your desktop when Outlook is not launched. You can then click on the notification to open the Calendar event details.

  • PST File Support: The first phase PST (a.k.a. Outlook Data File) support in the new Outlook for Windows provides read-only access to Mail items within .pst files. Users are now able to open .pst files, read their emails within *.pst files, and search *.pst files for emails. All Calendar, Contacts, and Tasks data saved in the *.pst files are still there, but they can't be accessed in this preview. Next releases will expand PST support capabilities.
  • Copilot is now included in Microsoft 365 Personal and Family: We're bringing Microsoft Copilot and Microsoft Designer to Microsoft 365 Personal and Family subscribers in most markets worldwide. These changes bring the transformative power of AI to the personal productivity tools that millions of people use every day. Note: these changes only apply to our consumer subscription plans.   • File link Summarization with Copilot Chat: You can now use Copilot Chat to summarize SharePoint and OneDrive file links in your emails. Simply hover above the link and you'll see a button to summarize the file with Copilot.
  • Chat Assisted Scheduling: Copilot now helps you schedule simple meetings such as 1:1s and focus time. Just ask Copilot to find some time with someone in your org and it will find the optimal time.
  • Calendar background notifications: Users will continue to receive their calendar notifications while the new Outlook isn't launched/opened. Users can click on the notification item to open the Calendar event details. They can also snooze or dismiss the event and launch their respective meeting provider to (1) Join the meeting or (2) Chat with the meeting participants. To enable this feature, users must (1) enable the “Send notifications when Outlook is closed” setting in new Outlook, (2) allow the new Outlook permissions to run in the background in Windows 11 Settings, and (3) enable the “Show Notification banners” setting in Windows, as well.
  • Expressions Pane to Fluent V9: V9 design update of the emoji picker pane in Compose.
  • Tips Pane entry point moved from Suite Header to Ribbon: The Tips pane's entry point is moving from the Suite Header (found at the top of the window) to the Help tab of the Ribbon.
  • Places - Individual desk booking: With the addition of individual desk booking via Places Finder, employees can view individual desks, filter by sections, and book a specific desk.
