Planned maintenance keeps the Fabric and Power BI platform reliable and healthy. During the maintenance window, the service is temporarily unavailable for all users and workloads across all license and SKU types, including Power BI Embedded. The maintenance pauses interactive access, scheduled jobs, refreshes, and other background operations. After maintenance finishes, all services and workloads automatically resume normal operation.
To help minimize impact to your organization, we schedule maintenance outside of standard business hours whenever possible. For organizations operating across multiple regions and time zones, maintenance windows might still affect some users. We apologize for any inconvenience this condition causes and appreciate your understanding. We're committed to continuously improving the service and reducing both the frequency and duration of maintenance-related disruptions.
Microsoft 365 administrators in organizations affected by the maintenance receive advance notification through the Microsoft 365 Message center.
Pre-maintenance guidance
- Microsoft 365 administrators should regularly review the Microsoft 365 Message center for notifications about upcoming Fabric and Power BI maintenance activities. Share these communications with stakeholders who might be affected but don't have access to the Message center, and consider enabling email notifications to ensure you don't miss important updates.
- If you're not a Microsoft 365 administrator, work with your IT department or internal support teams to understand whether any upcoming maintenance might affect your users or business operations.
- The following usage data, which was collected before your maintenance window, resets during maintenance and isn't available afterward. Back up any data you want to retain and download activity logs before maintenance.
- Even after maintenance, you can still get equivalent activity logs through Purview for up to 180 days by default. For more information, see Track user activities in Microsoft Fabric.
What happens during maintenance?
During the maintenance window, Fabric and Power BI services will be temporarily unavailable. Users will be unable to access the service, and background activities such as data refreshes, pipelines, and scheduled jobs will be paused. During this time, Microsoft performs the required platform updates, migration activities, and service validation checks.
Maintenance will begin no earlier than the scheduled start time, and will conclude no later than the scheduled end time communicated to your organization.
Once maintenance is complete, normal service operations resume automatically and no action is required from users. We provide both a maintenance start time and an end time window; however, maintenance is often completed sooner than the full window allotted. For example, if a six-hour maintenance window is scheduled but users are able to access Fabric again after three hours, the maintenance has been completed and service availability has been restored.
Post-maintenance guidance
- Users should refresh any open browser windows.
- Power BI Mobile app users will need to verify they're using the most recent version and sign out then sign back into the app. Check your phone's app store or check our Power BI Mobile page.
- If a scheduled refresh was running before the maintenance window, the refreshed data won't be reflected when the maintenance window ends, and the refresh completes. Refreshes will resume as normal at the next scheduled time.
- Users who were actively editing or publishing reports that use organizational visuals, whether locally or from OneDrive and SharePoint locations, need to either reimport the visual via the organization visual store or download an updated PBIX before republishing. For more information about organizational visuals, see Organization visuals.
- After maintenance, some Power BI embedded links in SharePoint and Teams might fail to connect. To resolve the issue, regenerate the embedded link in Power BI, and then update each location where it's used. For more information about embedded links, see Embed a report web part in SharePoint Online and Collaborate in Microsoft Teams with Power BI. The likelihood that embedded links need to be updated is very low, and the recommendation is to fix these issues reactively post-maintenance, rather than hunt down problematic embedded links and fix them proactively before maintenance. Apart from potentially some SharePoint and Teams links, all other embedded Power BI links work as expected after maintenance and don't need to be regenerated. Additionally, Publish to Web links don't need to be regenerated.
- After maintenance, if Excel workbooks that use Analyze in Excel fail to refresh, you might need to update the connection string or download the ODC connection for the dataset. The likelihood that the connection string needs to be updated is very low, and the recommendation is to fix these issues reactively post-maintenance, rather than hunt down problematic connection strings and fix them proactively before maintenance.
