Absence codes (form)

Click Human resources > Setup > Absence > Absence codes.
Use this form to set up absence codes to indicate the reasons for workers’ absences and to apply validation rules to the reasons.
For example, you could create an absence code called “Child’s Illness” for when a worker is absent from work due to a child’s illness. With validation rules, you could also specify that workers can only have three absences per month due to a child’s illness.
Before you can create an absence code, you must first create one or more absence groups in the Absence groups (form).
Navigating the form
The following tables provide descriptions for the controls in this form.

General |
Specify the text and background color for the absence code and specify the absence group that the code is assigned to. |
Validations |
Add or modify information about the validations for the absence code. Absence transactions are validated according to these settings. When entering an absence, if you have violated one or more validation rules in an absence code, a message is displayed, but you can continue to record the absence. You can activate the following validation rules:
For example, if you activate the Max. in series validation rule and then enter 2 in the Days field, 1 in the Period units field, and Weeks from the list in Period code field, a worker is allowed to be absent only two days per week without violating the validation rule. |
Time and attendance |
Add or modify information about the registration, properties, and payroll for the absence code. |
Financial dimensions |
View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures. |
Fields

Description |

Absence code |
Enter an identification code. |
Colors |
Select the text color and the background color for the absence code. Color codes are helpful when you use the Absence administration form, where you can view a list of validation rule violations and which workers are in violation. |
Absence group |
Associate the absence code with an absence group. |
Active |
Select this option to enable a validation rule. |
Work days |
Validate the rule for workdays only. For example, days off are not counted. |
Days |
Enter the number of days for the validation rule. |
Period units |
Enter the number of units. This value is used in conjunction with the period code to determine the period for the validation rule. For example, if you enter “2” in this field, and select Weeks in the Period code field, the period will be two weeks long. |
Period code |
Select one of the following options:
This field is used in conjunction with the Period units field to determine the period for the validation rule. For example, if you enter “1” in the Period units field, and select Year in this field, the period will be one year long. |
Series |
Enter the maximum number of series of absences allowed in a period. |
Job identification |
The time and attendance job identification that is used when a worker registers an absence using the selected absence code. |
Registration |
Select this option to enable registration for the activity. |
Method |
Specify if the absence registration, which is assigned to the selected absence code, should be counted according to pay hours or pay days. |
Continue absence |
Select this check box to indicate that the absence registrations that are assigned to the absence code should continue to the next clock in registration. |
Column |
Specify the number of the column that this activity is displayed in absence reports. |
Letter code |
Specify a letter or single-digit number that identifies the absence code in absence reports. |
Include in report |
Indicate if the selected absence code should be included in the results displayed in the Absence statistics form. If you do not select this check box, worker absences that were registered using the absence code are omitted from the statistics that you can generate in the Absence statistics form. |
Pay type |
Select a pay type for the absence code. |
Days |
Enter the number of days that will be registered as absences if the worker has not made a clock in registration. |
Main account |
Select the general ledger account to post absence costs for the absence code. |
Offset account |
Select the offset account for the transaction in the general ledger. |
Cost price per hour |
Enter the hourly cost price for a worker who is absent and uses the selected absence code in their absence registration. |
Default financial dimensions |
The default financial dimensions for the main account. When you select a financial dimension value, the Where the %1 dimension is used field group displays where the dimension is used in account structures and advanced rule structures. |
Where the %1 dimension is used |
The account structures and advanced rule structures that use the financial dimensions that you selected in the Financial dimensions or Default financial dimensions field group. Note The name of the field depends on the selection in the Financial dimensions or Default financial dimensions field group. |
