Free text invoice templates (form)

Click Accounts receivable > Setup > Free text invoice templates.
Use this form to create free text invoice templates that can include invoice lines, charges, an accounting distribution template, and ledger account information.
Note
After you create a free text invoice template, you assign it to one or more customers and then generate and post invoices. For more information about this process, see Key tasks: Recurring free text invoices.

If applicable, select the name of the employee who received the order. |
Language |
Select the language to use on the invoices that use this template. |
Posting profile |
Select the posting profile to use with this template. |
Billing classification |
The payment request classifier that governs payment terms and conditions, the number sequence, and the processing of the invoice. Note This control is available only if the Public Sector configuration key is selected. |
Sales tax group |
The sales tax group for the invoice, which is the default sales tax group for the customer account. If you enter a line for a ledger account followed by a line for customer account, and a default sales tax group is specified for the customer account, the default sales tax group overwrites the sales tax that is already entered for the ledger account. If the line for the ledger account should have a different sales tax group, you must either change it manually or enter the line for the ledger account after the line for the customer account. |
Item sales tax group |
The item sales tax group for the invoice, which is the default item sales tax group that is selected in the General ledger parameters form. The reporting type (Item, Service, Investment, or blank) that is specified for the item sales tax group determines the EU sales list column in which the transaction line amount appears. |
Total charges |
The total of the charges that are assigned to this template. To view the detailed charges, click Open charges. |
List code |
The list code that will be used with the EU sales list. |
Delivery terms |
The terms of delivery for the current free text invoice, such as FOB (free on board) or CIF (cost, insurance, freight). Terms of delivery specify delivery terms that are related to the change of ownership and costs of delivery. The terms of delivery must be set up in the Terms of delivery form. |
Currency |
Select the invoice currency. |
Terms of payment |
Enter or select the terms of payment for the invoices that will be generated. |
Method of payment |
The method of payment, which is the default method of payment for the customer account. You can change the method of payment for the current order. |
Payment specification |
Enter or select the payment specification code that is generated by using the Payment specification form. |
Payment schedule |
The payment schedule to use for the invoices that are generated. |
Cash discount |
Enter or select the cash discount code that is generated by using the Cash discounts form. |
Discount percentage |
The percentage of the transaction that is the cash discount of the transaction. Note (BEL) This control is available only to legal entities whose primary address is in Belgium. |
Associated payment attachment |
Select which transfer slip to print on the giro money transfer slip for the invoice. |
Accounting distribution template |
Select the default template that specifies the financial dimensions to use for distributing the transaction amounts. The information in the template will be used to display default dimension values. |
Financial dimensions |
The financial dimensions that were set up in the Financial dimensions form. |
Where the %1 dimension is used |
The account structures and advanced rule structures that use the financial dimensions that you selected in the Financial dimensions or Default financial dimensions field group. Note The name of the field depends on the selection in the Financial dimensions or Default financial dimensions field group. |
Billing code |
Select a billing code to automatically enter default values on invoice lines. These values are defined for the selected billing code in the Billing codes form. Only valid billing codes that are assigned to the selected billing classification will appear. Note This control is available only if the Public Sector configuration key is selected. |
Description |
Enter a short description of the item. The amount of text that appears on the invoice printout is determined by the way you set up the invoice. This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Main account |
Enter a revenue account before sales can be posted in General ledger. You can define the offset transaction account of a customer credit for the total invoice amount in the Customer posting profiles form. Note This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Sales tax group |
The sales tax group for the current invoice line, which is the default sales tax group for the customer account. |
Item sales tax group |
The item sales tax group for the current invoice line, which is the default item sales tax group that is selected in the General ledger parameters form. Note This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Quantity |
Enter or view the number of units for the invoice line. This number is multiplied automatically by the value in the Unit price field to determine the invoice line amount. Note If no unit price is entered, the quantity does not affect the invoice line amount. |
Unit price |
Enter or view the price per unit for the invoice line. This amount is multiplied automatically by the value in the Quantity field to determine the invoice line amount. If the Amount field contains a value when you enter a unit price, the quantity and the unit price are multiplied automatically to update the invoice line amount. If you change the unit price from a positive amount to zero, the invoice line amount remains the same. Only a unit price that is larger than zero affects the line amount. If the unit price is determined by the billing code, this field can be modified only if the Allow changes on invoice check box is selected for the selected billing code in the Billing code form. If the unit price cannot be changed, you can still change the quantity to update the invoice line amount. This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Amount |
The invoice line amount, excluding sales tax, in the currency that is selected for the invoice. This amount can be determined by the values that are entered in the Quantity and Unit price fields. If you change the amount in this field, the Quantity field will be empty. Note If the value in this field is determined by the billing code, this field can be modified only if the Allow changes on invoice check box is selected for the selected billing code in the Billing code form. This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Invoice text |
Enter the text to display on the invoice for the selected line. If you selected a billing code, the default text for the billing code is displayed and you cannot change it. This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Amount details |
The amount details for the selected invoice line. The default value is defined for the selected billing code in the Billing code form. Note This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Project ID |
The unique identifier for the project that is associated with the selected invoice line. Note When you select a project ID, the invoice line will be posted to the ledger account that is used for the project instead of to the ledger account that is entered in the Main account field for the invoice line. This field is available only if Display project-related fields on free text invoices is selected in the Accounts receivable parameters form. This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Category |
The category that is entered by default in the accounting distribution lines for the project. Note This field is available only if Display project-related fields on free text invoices is selected in the Accounts receivable parameters form. This field is read-only when a billing code is used on the template line and the default value comes from the billing code. |
Total weight |
Specify the total weight of the items represented by the line, in kilograms. |
Country/region of origin |
Specify the country/region of origin for the delivery. |
State of origin |
Specify the state of origin for the delivery. |
Commodity |
The item’s code for Intrastat reporting. For more information, see the Intrastat form. |
Transport |
Specify the means of transport for the current order for Intrastat reporting. |
Transaction code |
The identifier of the current transaction code, used for Intrastat reporting. |
Port |
The port at which the current order is to be loaded, used for Intrastat reporting. |
Statistics procedure |
The code for the current statistical procedure. |
