How to: Set Up Tax or Charge Groups and Structures
With Microsoft Dynamics NAV, you can group taxes or charges, and you can define payment structures to help you manage your tax-related transactions.
- Tax or charge groups
Set up codes for charges and predefined taxes, such as handling fees or insurance premiums.
- Structures
Define payment templates based on the tax and charge groups. A structure provides predefined information for how taxes and charges are calculated and posted, which you can then apply to customers and vendors. The payments that are defined in the structure are then applied to each invoice for that customer or vendor.
To set up a tax or charge group
In the Search box, enter Tax/Charge Groups, and then choose the related link.
On the Home tab, choose New.
Fill in the fields as described in the following table.
Field Description Code
The unique tax or charge group code.
Description
The description for the tax or charge group.
Other Tax
Select to specify that this tax or charge group can be used for other taxes.
Next, add a code for each of the taxes or charges that this group consists of.
On the Navigate tab, in the Details group, choose Tax/Charge Group Details.
In the Tax/Charge Group Details window, fill in the fields as described in the following table.
Field Description Tax/Charge Code
The tax or charge code.
Description
The description for the tax or charge.
Choose the OK button.
To set up a structure
In the Search box, enter Structure, and then choose the related link.
On the New tab, choose New.
On the General FastTab, fill in the fields as described in the following table.
Field Description Code
The unique structure code.
Description
The description of the structure code.
On the Structure Details FastTab, fill in the fields as described in the following table.
Field Description Calculation Order
The calculation sequence for a transaction.
CautionThis field cannot be modified.Type
The tax or charge type.
Tax/Charge Group
The tax or charge group code. If the Type field is set to a tax form, then leave this field blank.
Tax/Charge Code
The tax or charge code. If the Type field is set to a tax form, then this field is automatically set.
Calculation Type
The calculation type for the tax or charge.
Calculation Value
The value in terms of percentage or fixed value based on the option selected in the Calculation Type field.
Quantity Per
The applicable quantity if the Amount Per Qty option is selected in the Calculation Type field. For example, if the quantity is per piece, enter the value as 1.
Base Formula
A formula to indicate which rows are used to calculate the tax.
Include Base
Select to include the base amount.
Include Line Discount
Select to include the line discount.
Include Invoice Discount
Select to include the invoice discount amount.
Charge Basis
The tax or charge basis defined for the entire order.
Loading on Inventory
Select to indicate whether a particular tax or charge component is to be included as part of the landed cost of the item. In some cases, a partial value must be loaded and the remaining value must be considered as an expense.
Payable to Third Party
Select to levy charges directly to an invoice in which the tax or charge is payable to another vendor.
Account No.
The general ledger account to which each tax or charge is mapped to when updating accounts during transactions. The account number contains the associated financial postings for the taxes and charges defined in the structure. This helps to maintain accurate and standardized financial postings.
Choose the OK button.
