How to: Work with Microsoft Dynamics CRM Products

If Microsoft Dynamics NAV is set up to integrate with Microsoft Dynamics CRM, then from an item or resource, you can open and modify a corresponding product in Microsoft Dynamics CRM. Conversely, if Microsoft Dynamics CRM is set up for it, you can access the corresponding item in Microsoft Dynamics NAV from the product in Microsoft Dynamics CRM.

Before you can view a Microsoft Dynamics CRM product, you must set up a coupling between the Microsoft Dynamics NAV item or resource and the Microsoft Dynamics CRM product. A coupling acts as a link between a record in Microsoft Dynamics NAV and Microsoft Dynamics CRM. You can choose to couple to an existing product or create a new one.

The coupling also enables you to synchronize the product in Microsoft Dynamics CRM with the item or resource in Microsoft Dynamics NAV and so that data in fields that are mapped between the two is the same in both locations.

You can only synchronize data from the item or resource in Microsoft Dynamics NAV to the products in Microsoft Dynamics CRM; not from Microsoft Dynamics CRM to Microsoft Dynamics NAV. For more information, see About Dynamics CRM Product Integration.

To set up a coupling between a Microsoft Dynamics NAV item or resource and a Microsoft Dynamics CRM product

  1. Open the item or resource in Microsoft Dynamics NAV.

  2. On the Navigate tab, in the Dynamics CRM group, choose Coupling, and then choose Set Up Coupling.

  3. In the Coupling window, do one of the following tasks:

    • To couple to an existing product in Microsoft Dynamics CRM, select the product in the Dynamics CRM Product $) field.

    • To create and couple to a new product in Microsoft Dynamics CRM, select the New Dynamics CRM Product check box.

    The Coupled Records FastTab lists the some of the fields for the item or resource and the corresponding mapped fields for the selected Microsoft Dynamics CRM product. The Dynamics NAV Item/Resource column displays the current field values in Microsoft Dynamics NAV and the Dynamics CRM Product column displays the current field values in Microsoft Dynamics CRM. You can use the information on the Coupled Records FastTab to help you determine which Microsoft Dynamics CRM product to couple to and some of the data to be synchronized.

  4. If you want to synchronize data in the product in Microsoft Dynamics CRM with the item or resource in Microsoft Dynamics NAV, set the Synchronize After Coupling field to Yes- Use Dynamics NAV Data.

    This will copy the data from the item or resource in Microsoft Dynamics NAV to mapped fields in the product in Microsoft Dynamics CRM.

    Note

    Synchronization is required when you create a new product in Microsoft Dynamics CRM. Therefore, this option is selected by default and cannot be changed.

  5. Choose the OK button.

Unless you want to change which Microsoft Dynamics CRM products the item is coupled to, you only have to set up the coupling one time. You can return to the coupling window to identify differences between Microsoft Dynamics NAV and Microsoft Dynamics CRM data, and perform synchronization.

To synchronize data in a Microsoft Dynamics CRM product with an item or resource

  1. Open the item or resource in Microsoft Dynamics NAV.

  2. On the Navigate tab, in the Dynamics CRM group, choose Synchronize Now.

To view a product in Microsoft Dynamics CRM from Microsoft Dynamics NAV

  1. Open the item or resource record or list in Microsoft Dynamics NAV.

  2. On the Navigate tab, in the Dynamics CRM group, choose Product.

    Microsoft Dynamics CRM opens to display the item or resource record.

To view a list of all Microsoft Dynamics CRM products and see whether they are coupled to Microsoft Dynamics NAV records, in the Search box, enter Microsoft Dynamics CRM Products, and then choose the related link.

To view a Microsoft Dynamics NAV item from Microsoft Dynamics CRM

  1. Open the product in Microsoft Dynamics CRM.

  2. To open the item in Microsoft Dynamics NAV, in the ribbon, choose Dynamics NAV.
