Approve or Reject Messages Before They Reach Your Public Group

When you create a public group, you can control who sends messages to the group. You can approve or reject messages before they reach the group you own by using the Message Approval section in the Group dialog box.

How do I approve messages before they reach people in my group?

  1. From Outlook Web App, click Options > See All Options in the toolbar at the top of the window.
  2. Double-click your group located under Groups > Public Groups I Own or click Details for your group.
  3. Under Message Approval, select the Messages sent to this group have to be approved by a moderator check box. (By default, this check box isn't selected.) Select any of these additional settings:
    • Under Group moderators, click Add to select one or more group moderators. If you don't add anyone, you are the group moderator.
    • Under Senders who do not require message approval, click Add to select people or groups that can bypass moderation.
    • Under Select moderation notifications, choose what to tell senders about the status of messages they sent for approval. Select one of these options:
      Notify all senders when their messages aren't approved.   This is the default setting. With this option selected, anyone that sends to the group, including all people and groups in your address book and those not listed in your shared address book, will receive a notification when their message isn't approved.
      Notify senders in your organization only when their messages aren't approved.   When you select this option, only people or groups in your address book are notified when a message they sent to the group isn't approved by a moderator.
      Don't notify anyone when a message isn't approved.   When you select this option, notifications don't go to senders whose messages aren't approved by the group moderators.
  4. When you're done, click Save to keep your changes or click Cancel to close the Group dialog box.
