Record a Custom Greeting for When You're Away

Applies to: Office 365 for enterprises, Microsoft Exchange

You can choose which greeting will be played to callers when you're away for an extended period of time. By default, the voice mail system will generate a system voice mail greeting, but you can change this greeting and record a personalized greeting for callers if you're away on business or vacation or just unavailable for an extended period of time.

How do I record a personalized voice mail greeting for when I'm away for an extended period of time?

  1. In Outlook Web App, click Options > Phone > Voice Mail tab.
  2. Under Outlook Voice Access, click Inform callers that I'll be away for an extended period of time, and then click Call me to play or record the selected greeting.
  3. Follow the voice prompts to record and save your voice mail greeting.
  4. After you've recorded your greeting, click Save.

What else do I need to know?

  • The phone number listed in the Play on Phone section will be called when you click Call me to play or record the selected greeting to record your personalized greeting. This number can be changed.
  • You can also call in to Outlook Voice Access, enter your PIN, and then select the personal options menu to record and save voice mail greetings.
