Add users to or remove users from a business role

A business role controls access to business data for users who belong to the role. Before a user can be added to a role, he or she must be added to the Planning Server system from the Planning Administration Console.

You must belong to the User Administrator role to modify role membership. You can modify business role membership by using one of the following methods.

  • Manage role membership for a selected role by using the Add or Remove Users for Role dialog box. This dialog box is especially useful for adding or removing multiple users in a business role.

  • Manage role membership for a selected user by using the Assign or Remove Business Roles for User dialog box. This dialog box is especially useful for changing a user's membership in multiple business roles.

To manage role membership for a selected role

  1. In the Workspace Browser pane, click Security and Roles.

  2. In the Security and Roles workspace, click the role whose membership you want to modify.

  3. In the Security and Roles Tasks pane, select Add or Remove Users for This Business Role. The Add or Remove Users dialog box opens. Users who currently belong to the role are listed under Selected users.

  4. Add users to the role, as follows. You can use the boxes under the column headings to filter users based on user properties.

    • To add specific users to the role, select users in the list of Planning Server system users from the box on the left, and then click Add Selected.

    • To add all system users to the role, click Add All.

    Note

    To see a user who was added after you opened Planning Business Modeler, click the View menu and then click Refresh. You will be prompted to save your changes to the model site.

  5. Remove users from the role, as follows:

    • To remove specific users from the role, select the users in the Selected users box, and then click Remove.

    • To remove all users from the role, click Remove All. Removing a user from all roles does not remove the user from the Planning Server system.

    • To keep specific users in the role, select the users in the Selected users box, and then click Keep.

  6. When you finish adding or removing users, click OK. Users that are added to a role inherit the permissions for the role. However, you can restrict access to business data for individual users. For more information, see "Edit user permissions in a business role" in the product help.

    If you add a user to a business role that is used as a contributor for existing assignments, you will receive a message that contains information about the assignments. If you also belong to the Data Administrator or Modeler role, you will be prompted to instantiate assignments for the new user. If you remove a user from a business role that is used in an assignment or job definition, and you want to delete any instances that the user owns, you must purge them manually.   7. On the File menu, click Save Model Site to save your changes.

To manage role membership for a selected user

  1. In the Workspace Browser pane, select Security and Roles.

  2. In the Security and Roles workspace, click the user whose role membership you want to modify. Click next to the user name, not directly on the user name.

    Note

    To see a user who was added after you opened Planning Business Modeler, click the View menu and then click Refresh. You will be prompted to save your changes to the model site.

  3. In the Workspace Actions pane, click Assign or Remove Business Roles for This User. The Assign or Remove Business Roles for User dialog box opens. All business roles in the model site are listed in the box on the left. Business roles that the user belongs to are listed under Selected roles.

  4. Add the user to business roles, as follows. You can use the text boxes under the column headings to filter roles based on role properties.

    • To add the user to specific roles, select the roles in the list of business roles in the model site, and then click Add Selected.

    • To add the user to all business roles in the model site, click Add All.

  5. Remove the user from business roles, as follows:

    • To remove the user from specific roles, select the roles in the Selected roles box, and then click Remove.

    • To remove the user from all business roles in the model site, click Remove All.

    • To retain the user's membership in specific roles, select the roles in the Selected roles box, and then click Keep.

  6. When you finish modifying the role membership for the user, click OK. Users that are added to a role inherit the permissions for the role. However, you can restrict access to business data for individual users. For more information, see Edit user permissions in a business role.

    If you add a user to a business role that is used as a contributor for existing assignments, you will receive a message that contains information about the assignments.
