Monitor usage reports for personalization

Administrators for Microsoft Office SharePoint Server 2007 can monitor usage reports for personalized sites and content. Usage reports can be used to identify highly-used sites and search queries, and administrators can use that information to improve both site performance and collaboration between users of personalized sites.

Overview of usage reports

The following usage reports are available:

  • Site usage report Site administrators, including administrators of the Shared Services Administration site, can view usage reporting for their site by clicking Site usage reports in the Site Administration section of the Site Settings page.

  • Site collection usage report Site collection administrators for most site collections can view usage reporting by clicking Site collection usage reports in the Site Collection Administration section of the Site Settings page.

  • Site collection usage summary Site collection administrators for the Shared Services Administration site and individuals with personal sites can view the Site Collection Usage Summary page by clicking Usage summary in the Site Collection Administration section of the Site Settings page.

Search usage reports are also available and can be used to improve the relevance of search results to improve discoverability and collaboration of your personalized content and sites. For more information about search usage reports, see the Monitor usage reporting for people and personalization search section.

View usage reports

The following information is available in usage reports for both sites and site collections:

  • Usage summary view:

    • Requests and queries in the last day and the last 30 days

    • A site collection summary including the following information:

      • Average number of requests per day over the last 30 days

      • Number of distinct users over the past 30 days

      • Number of distinct users yesterday

      • Number of requests yesterday

      • Number of queries yesterday

      • Number of queries over the past 30 days

    • A chart of the average number of requests per day over the last 30 days

    • A chart of requests per day over the last 30 days

    • A list of the top page requests over the last 30 days

    • A list of top users over the last 30 days

    • A chart of top referring hosts over the last 30 days

    • A chart of top referring pages over the last 30 days

    • A list of top destination pages over the last 30 days

  • Requests view:

    • A chart of the average number of requests per day over the last 30 days

    • A chart of requests per day over the last 30 days

    • A list of the top page requests over the last 30 days

  • Users view:

    • A chart of unique users over the past 30 days

    • A chart of the average number of unique users per day by month

    • User activity over the last 30 days.

  • Referrers view:

    • A chart of top referring hosts over the last 30 days

    • A chart of top referring pages over the last 30 days

  • Destination pages view:

    • A list of top destination pages over the last 30 days

    • Average requests per day over the past 30 days for the top destination pages

  • Home page view:

    • Number of home page requests for the past 30 days

    • Average home page requests per day by month

    • Unique users for the home page over the past 30 days

    • Average number of unique users per day by month

    • Top referring pages to home page by average requests per day over the last 30 days

    • Top destination pages from home page by average requests per day over the last 30 days

Site collection administrators, but not site administrators, can monitor usage data for search queries and search results for all sites in the site collection. Search usage reporting must be enabled. The following additional information is available in site collection usage reports:

  • Additional information in the usage summary view:

    • Top queries for the last 30 days

    • Search results top destination pages

  • Search queries view:

    • Number of queries per day over the previous 30 days

    • Number of queries per month over the previous 12 months

    • Top queries for the last 30 days

    • Queries per search scope over the previous 30 days

  • Search results view:

    • The top destination pages of search results

    • Queries with zero results

    • Most clicked best bets

    • Queries with zero best bets

View site collection usage summary page

The following information is available in the site collection usage summary that is available for the Shared Services Administration site and individual personal sites.

  • Total amount of storage used by the site collection

  • Percent of storage space used by Web Discussions

  • Maximum storage space allowed

  • Number of users for all sites in the hierarchy

  • Total hits and recent bandwidth usage across all sites

Monitor usage reporting for My Site

Site owners and site collection administrators can monitor usage reports for the different personalized sites and site collections available in the My Site host location. These sites include:

  • The entire site collection for the My Site host location

  • Individual personal sites

  • Personalization sites added as links on the My site horizontal navigation bar

Monitor usage reporting for the My Site host location

The My Site host location for an SSP is stored on a site collection that is selected by the user profiles manager. It often uses the same site collection as the portal site. To monitor usage reporting for all of the personal sites across the My Site host location, you monitor the usage reporting for the entire site collection that hosts My Site, including sites that are not associated with My Site. In the common scenario where My Sites are hosted on the same site collection as the portal site, the site collection administrator monitors usage data both for personal sites and the portal site pages hosted on the same site collection.

The site collection administrator can view a site collection usage report and site usage reports for subsites in the collection. The user profiles manager can view these reports for any personal site in the My Site host location. The site collection administrator and the user profiles manager can work together to monitor personal sites and fix any problems that arise during operations.

Monitor usage reporting for personal sites

Individual users with personal sites can view a site collection usage summary page for their personal site collections and site usage reports for every site in their personal site collections. Most of these site usage reports track the same information as the site usage reports for the site collection. However, the site usage report for the top-level personal site displays different usage data. That report tracks monthly and daily page hit totals filtered by the following criteria:

  • Page

  • User

  • Operating system

  • Browser

  • Referrer URL

Site usage reports are also available for all of the sites hosted on a personal site.

The user profiles manager can also view usage data for the personal site of any user. If a single or small number of personal sites are the source of a performance problem, the user profiles manager working together with the site collection administrator for the My Site host location can identify the problem sites and work to fix them.

Monitor usage reporting for personalization sites

Personalization sites include all sites that use the personalization site template or the Current User Web Part to personalize information based on the identity of the current user viewing the site. Links to personalization sites are often included in My Site and those links are often targeted to groups of users by using audiences. Personalization sites are not hosted on the My Site host location.

Site and site collection administrators for personalization sites can monitor usage data just like the administrators of any other site. Administrators can view either a site collection usage report for all sites in the collection or a site usage report for sub-sites in the collection.

Search administrators can view the Search Usage Reports page by clicking Search usage reports in the Search section of the Shared Services Administration home page. That page tracks the following information:

  • Number of queries per day over the previous 30 days

  • Number of queries per month over the previous 12 months

  • Top queries over the previous 30 days

  • Top site collections originating queries over the previous 30 days

  • Queries per search scope over the previous 30 days

  • The top destination pages of search results

  • Queries with zero results

  • Most clicked best bets

  • Queries with zero best bets

Usage data for search queries and search results can also be viewed per site collection on the Site Collection Usage Summary page.

The following usage data is particularly relevant to improving search for people and personalized sites:

  • The number and ranking of search queries for people search scopes

  • The number of queries for specific people with key expertise in your organization

  • The number of queries for key personalization sites in your information architecture

  • Site collections that originate many queries for people or personalized content, particularly if those queries result in zero results. This could indicate that the content is missing or that it simply isn’t being crawled by search.

  • Top destination pages for people and personalization queries that are not relevant

  • The absence or popularity of best bets that are relevant to personalized content

The search administrator can use this information to delete or reorganize search scopes that are infrequently used and related to people, configure content sources to crawl more relevant information, identify personal sites and personalized sites that could use more relevant content or a more discoverable location in your information architecture, and improve search results by highlighting search terms as best bets. The search administrator can work with the user profiles manager, the site collection administrator and site administrator for personalized sites, and other users to improve both search and the personalized content provided in the search results.

Monitor usage reporting for the Shared Services Administration site

Administrators for the Shared Services Administration site collection can monitor usage reporting for the site collection. Usage summaries and reports include all pages on the administration site, and not just those directly related to administration of personal sites and user profiles.

Site collection administrators for the Shared Services Administration site can view the Site Collection Usage Summary page by clicking Usage summary in the Site Collection Administration section of the Site Settings page.

Site collection administrators for the Shared Services Administration site can also view the Site Usage Report page by clicking Site usage report in the Site Administration section of the Site Settings page. This page tracks the same information as the top-level site usage report for personal sites.

The number of users and page hits for the administration site is not likely to be high, because most users do not have permissions to access the site. If performance for the site is poor, usage reporting can help to identify the pages and users that are the source of the problem.

Task Requirements

The following are required to perform the procedures for this task:

  • To view site usage reports, you must have Full Control permission to the site or be a member of a group with Full Control permission to the site.

  • To view site collection usage reports or site collection usage summary pages, you must be a member of the site collection administrators group.

  • To view search usage reports, you must have at least View only permission to the Shared Services Administration site.
