In Microsoft Viva Insights, Microsoft designed the Team insights feature for managers with direct reports. Teams insights find insights and suggested actions based on your personal habits as a manager throughout the Microsoft Viva Insights app in Teams and on the web. This training unit examines how the Viva Insights tool builds teams. It also provides a quick overview about insights regarding team meeting habits.

About team data and data privacy

The Team insights tool determines who should be included on your "team." Depending on your setup, it can use organizational data that your Microsoft Viva administrator uploaded in the Advanced insights app. Or, it can use data that's available from Microsoft Entra ID.

With Team insights, you can't see individual team members' personal collaboration habits. Microsoft Viva Insights generates Team insights entirely from activity data from a user’s own account, and computed from their email, meetings, chats, and calls. The same privacy protections and considerations apply to Team insights as to other Personal insights.

Microsoft protects employee privacy and fully complies with local regulations, just as it does with Personal insights.

Permissions and app setup

Users with a Viva Insights subscription with an applicable service plan can access Team insights. A Microsoft 365 administrator or other administrator with appropriate permissions can install the Viva Insights app in Teams. After your administrator installs it, you can discover and pin Viva Insights to your Teams app for easy access. After adding the app, you have access to all its features, including Praise, Protect time, Reflect, Stay connected, and Virtual commute.

To pin Viva Insights to your Teams app on desktop and web clients, complete the following steps:

  1. Select the ellipsis icon (more added apps) on the left bar in Teams.
  2. In the search field, enter Microsoft Viva Insights and then select it.
  3. Right-click the app icon shown in the left bar in Teams, and then select Pin to make and keep it visible in the left bar in Teams.

To pin Viva Insights to your Teams app on iOS and Android mobile platforms, complete the following steps:

  1. Select the ellipsis icon (...) in the left bar in Teams.
  2. Select Viva Insights to open it.
  3. Select Reorder and then drag the app icon to remove it from the More section.
  4. Select Done to save your changes.

To uninstall the app, complete the following steps:

  1. In Teams, select the ellipsis icon (...) in the left bar.
  2. If Viva Insights isn't visible in your most recent view, use search to find it.
  3. Right-click Viva Insights, and then select Uninstall.
  4. When prompted, select Uninstall again.

How to turn on or turn off team insights

To turn Team insights on or off, complete the following steps:

  1. Select the ellipsis (...) icon at the top-right of the screen. In the menu that appears, select Settings.
  2. Select Team insights on the left pane.
  3. To:
    • Turn off team insights, select Opt out.
    • To turn on team insights, select Opt in.
  4. Select Save changes.

How teams are built

The Viva Insights tool automatically builds teams based on organizational data uploaded or connected to the Advanced insights app. If your organization uses Microsoft Entra ID to populate Viva Insights (which is the default setting) then Viva Insights uses that directory’s information to build your team. If your administrator uploaded an HR file to the Advanced insights app, then Viva Insights instead uses the information provided in that file to make your team.

Your team only includes people reporting directly to you as presented in Microsoft Entra ID or the file your administrator uploads. This structure means three things:

  • To keep teams accurate, your organization needs to regularly update Microsoft Entra ID or upload new HR files.
  • If you don’t have at least one person reporting directly to you, as presented in the organizational data file, then you can't access Team insights.
  • Because Viva Insights builds teams directly from organizational data, you can't edit team members.

Note

When your direct-reports list changes, Viva Insights reflects these changes in the following week’s data for your team meeting habits.

Team meeting habits

As a manager, you're a role model when it comes to collaboration habits, especially in meetings. Team members tend to mimic their manager's behavior. For example, Microsoft conducted a study on managers who multitask in meetings. In this study, Microsoft defined "multitask" as reading or sending emails during a scheduled meeting. The study indicated that managers who multitask are more than two times as likely to have team members who also multitask in meetings.

The Productivity tab displays Insights about your team meeting habits. Refer to Meeting habits to learn which habits Viva Insights calculates and how it calculates them.

Shared plans

To create healthy team norms, you and your team should consider using shared plans. You can find and start shared no-meeting day and focus plans on the Wellbeing tab. To start a shared meeting plan, navigate to the Productivity tab.
