Introduction
Every capability you turn on for Microsoft 365 Copilot changes what the tool can reach, and reversing that decision later is far harder than making it in the first place. As an administrator managing Relecloud's tenant, you now move past rollout into the ongoing work of tuning how Copilot behaves—and each setting you touch trades some capability for some amount of data exposure.
Consider a Relecloud analyst who asks Copilot to summarize the latest thinking on a Woodgrove Bank engagement. The prompt routes to a non-Microsoft AI provider, and Relecloud's business context leaves the tenant for infrastructure the legal team never reviews. Nobody makes that choice for this specific prompt. Someone makes it weeks earlier, through a single settings-catalog toggle that turns on an extra AI provider "for better answers," without recognizing that enabling a third-party AI provider makes it a Microsoft subprocessor for that data. The toggle looks like a small convenience. Its consequences reach every prompt that follows.
Copilot configuration isn't one on/off switch. It's a catalog of individual, reversible decisions, and each one is a deliberate trade between what Copilot can do and what it can reach.
