How to explain and train templates (basics)
Templates help clinicians create documentation that follows a consistent structure while reducing the need for manual editing.
Note
This unit applies to both Dragon Copilot and DAX Copilot. Available features and functionality might vary based on organizational configuration, language settings, and the platform being used.
What are templates?
Templates are structured frameworks that guide how Dragon Copilot generates documentation. They help clinicians create notes that are consistent, personalized, and aligned with their documentation preferences.
Templates help clinicians:
- Reduce documentation time.
- Maintain a consistent note structure.
- Minimize manual editing.
- Personalize output based on specialty, preferences, and workflow needs.
When should clinicians use templates?
Before recommending a template, confirm that the clinician:
- Selects the correct specialty and role.
- Follows verbalization best practices.
- Reviews the available settings in the Templates section.
Many documentation preferences can be addressed through specialty settings, note preferences, or default templates. Templates are most useful when clinicians need extra control over note structure or output.
Templates are especially helpful when clinicians want:
- A specific note structure.
- Customized headings or default content.
- Greater control over how documentation is organized.
- Consistent results across similar encounters.
Tips for coaching templates
Templates can feel complex, so guide learners through the fundamentals clearly and methodically.
Start with the fundamentals
Help clinicians understand:
- What templates are.
- Why they might want to use them.
- When to use a template instead of relying on default settings.
- How templates guide Dragon Copilot to generate structured documentation.
This foundation helps clinicians recognize when templates can improve their workflow.
Start with existing templates
Before discussing template creation, demonstrate how to:
- Review available templates.
- Apply a template.
- Modify an existing template.
Starting with existing templates helps clinicians understand how templates work and often eliminates the need to create one from scratch.
Introduce the AI-assisted template builder
Show clinicians how the AI-assisted template builder can generate a starting template based on their desired note structure or workflow.
Explain that AI-generated templates can be reviewed, tested, and refined over time.
Demonstrate how to apply templates
Show clinicians how to:
- Select a default template in the Templates section.
- Apply a template when needed during their workflow.
Help clinicians understand when a default template is appropriate and when they might choose a different template for a specific encounter.
Tip
Consider using the same name for both the template name and spoken form. This approach makes it easier for clinicians to remember what to say when applying a template.
Encourage iteration
Templates are rarely perfect on the first attempt. Encourage clinicians to test, refine, and adjust templates as their documentation needs evolve.
When clinicians understand how to use templates effectively, they can create more consistent documentation while spending less time editing and formatting notes.
