How to explain and train texts
Some clinicians frequently dictate the same blocks of text, such as patient instructions, common procedures, normal lab results, or routine documentation. Repeating this content during every encounter can be time-consuming. By coaching clinicians on how to use Texts, you can help them save time, maintain consistency, reduce cognitive load, and improve documentation efficiency.
Note
Available features and functionality might vary based on organizational configuration, language settings, and the platform being used.
What are texts?
Texts enable clinicians to save frequently used content and insert it instantly without retyping or redictating it. Texts help improve efficiency, reduce variability, and support more consistent documentation.
Dragon Copilot already captures information through dictation and ambient recording. Texts help clinicians quickly insert reusable content that they use repeatedly.
Common uses for texts
Texts are especially useful for:
- Standard patient instructions.
- Normal findings or results.
- Reusable educational content.
- Procedure descriptions.
- Other frequently used blocks of text.
Benefits of using texts
Texts help clinicians:
- Save time. Insert frequently used content with a single action.
- Maintain consistency. Use texts to insert the same information in multiple locations or documentation.
- Reduce repetitive typing and dictation. Avoid redictating long passages and blocks of information.
- Increase efficiency. Speed up documentation and increase accuracy, especially during workflows with repetitive language.
How to train texts
As you train clinicians to use texts, focus on the what, why, and how.
Start with the basics
Explain what texts are, why they are useful, and how they support efficient documentation.
If a learner previously used Auto-texts in Dragon Medical One, explain that texts serve the same purpose in Dragon Copilot.
Show where to find texts
Learners should know how to access texts in the library.
Settings
> Library
> Texts
Teach how to manage texts
After training, learners should be able to:
- Add a new text.
- Use variable fields in texts.
- Edit an existing text.
- Duplicate a text for quick variations.
- Disable or delete a text.
Tip
While optional, descriptions can help organize library items and provide additional context.
Show how to use texts
Insert texts in two ways:
- By voice using a spoken form.
- Manually from the library.
If your organization uses a default keyword such as insert, ensure clinicians understand how to use it and where to find it.
Example: If the text is named patient education and the keyword is insert, the clinician says insert patient education to add the text.
Reinforce best practices
Encourage clinicians to:
- Place the cursor where the text goes.
- Use clear, consistent spoken forms.
- Review texts periodically to keep them updated and relevant.
- Use variable fields in texts as needed.
Tip
Encourage clinicians to use the same name for both the item name and spoken form. By using the same name, they can quickly see what they need to say to insert a text without selecting each item from the list to see its spoken form.
Key takeaway
Texts are a powerful tool in Dragon Copilot (physicians) that help speed up documentation and improve accuracy. Intentional coaching helps learners understand how to create and use texts effectively. Guide learners through these steps to help them maximize the benefits of using texts in Dragon Copilot.
