How to explain and train navigation

Completed

Start by making the workflow predictable. Nursing staff should know what to do first, next, and last without guessing. When the workflow feels simple, confidence rises and resistance drops.

Note

Help the nursing staff stay oriented in Dragon Copilot for Epic Rover so recording, reviewing, and filing feel like one connected flow.

A simple workflow story you can repeat

Use the same four-part storyline in every session:

  1. Prep: Select the patient so you're ready to record as you begin care

  2. In room: Start recording and speak observations during care

  3. Outside the room (as needed): Add details you didn't want to say in front of the patient or forgot to mention

  4. Edit and file: Review draft flowsheet entries, make edits, and file in the EHR

Important

Dragon Copilot supports documentation, but the nursing staff reviews and decides what gets filed.

Core navigation anchors in Epic Rover

Coach the nursing staff to look for the same anchors every time:

  • Recording controls at the bottom: Record, Pause, Resume, Stop.

  • Tabs across the top: Preview, Transcript, Guide.

  • Help (?) menu for Resources, Feedback, and optional Survey.

How to explain the tabs (nurse-friendly)

Use short, practical descriptions:

  • Preview: Shows ambient-enabled templates and active LDAs. After the recording is paused, it shows what was captured and what might be missing.

  • Transcript: Available when paused. Use it to confirm details after interruptions.

  • Guide: Provides visual flow sheet guidance during documentation.

Trainer talk track (30 seconds)

"You see the same pattern every time: pick the patient, start recording, speak your care, then review what was captured before you file. Preview shows what’s ready to document, Transcript helps you confirm details after interruptions, and Guide gives flowsheet reminders. If you get stuck, use the Help menu for resources or feedback."

Scenario: Nurse worries about slowing down

Nurse: "I don’t want to slow down trying to find things." Trainer coaching: "You don’t need to hunt. Use the anchors: controls at the bottom and three tabs at the top. Preview is a quick check - not another task. We’ll practice with one patient and keep it simple."
