Describe how Facilitator supports meeting collaboration

Completed

Meetings often involve multiple participants sharing ideas, making decisions, and assigning follow-up work. While these conversations are valuable, participants frequently face a common challenge: balancing active participation with documenting what happened during the meeting.

Facilitator in Microsoft Teams is an AI-powered meeting assistant designed to help teams stay aligned throughout the meeting lifecycle. Rather than relying on a single participant to capture notes, Facilitator helps create a shared record of the discussion that all participants can review and contribute to during the meeting.

Scenario

Imagine you're part of a marketing team preparing for an upcoming product launch.

The team is meeting to discuss campaign timelines, content deliverables, budget approvals, and launch activities. As the conversation moves quickly between topics, participants need to keep track of decisions, document next steps, and ensure everyone leaves with a clear understanding of their responsibilities.

Throughout this module, you see how Facilitator can help teams stay aligned by capturing meeting information, helping document decisions, and helping organize action items in real time.

Important

A Microsoft 365 Copilot license is required to add Facilitator to a meeting or turn it on during a meeting.

Facilitator is included with Microsoft 365 Copilot; users must also have an eligible Microsoft 365 or Microsoft Teams base license. However, any meeting participant (excluding external participants) can view real-time updates in Chat and Notes.

Key capabilities of Facilitator

Capability How it supports collaboration
Collaborative notes Creates shared meeting notes that participants can review and edit together.
Decision tracking Helps identify and document decisions discussed during the meeting.
Action item generation Helps capture follow-up tasks and responsibilities discussed during the conversation.
Agenda support Helps participants stay aligned with meeting topics and objectives.
Shared visibility Provides a central location for meeting outcomes that participants can reference during and after the meeting.

By helping teams capture information as discussions occur, Facilitator allows participants to focus more on contributing to the conversation and less on manual note-taking. The result is a more organized meeting experience and a clearer record of decisions and next steps, helping ensure accountability and follow-through.

Note

Facilitator helps organize and capture meeting information, but participants remain responsible for reviewing generated notes, decisions, and action items to ensure accuracy and completeness.

While understanding Facilitator's capabilities is important, it's equally important to understand how those capabilities can support collaboration before, during, and after a meeting.
