Deploy the mobile application

Before you can use the Field Service Mobile app, you must have Dynamics 365 Field Service installed and set up.

Deployment process

The deployment process involves the following steps:

  1. Ensure that you're running the correct version of Dynamics 365 Field Service.

  2. Set up and configure your frontline workers.

  3. Assign appropriate security roles to users and the mobile app.

  4. Download the app and then sign in.

Install or upgrade your Field Service version

The Field Service Mobile application that is built on Microsoft Power Platform won't be available to users in your organization unless you're running the appropriate version of Dynamics 365 Field Service. You need to install or upgrade your Field Service instance to v.8.8.22 or above. When your environment is running on the correct version, the Dynamics 365 Field Service Mobile application becomes available to users.

Set up frontline workers in your organization

After ensuring that you're running on the correct application version, your next task is to set up your frontline workers. Frontline workers in Dynamics 365 Field Service are the people in your organization who are primarily scheduled for onsite jobs and who will use the mobile app for their work. Make sure to set up your frontline workers in Field Service as quickly as possible so that they can immediately start fixing problems at customer locations and complete service calls.

When you launch Dynamics 365 Field Service, a Get Started option is available under the My Work group. On this page, administrators can quickly set up their frontline workers and provide them with the necessary permissions to schedule work orders and use the Field Service Mobile app.

From the Set up your frontline workers form, you can complete the following tasks:

  • Define frontline workers - Set up one or more frontline workers, including defining the following factors:

  • Modify workers' security settings - View and update the defaulted security role, field security profile, and mobile offline profile that are set for your frontline workers, which control the data that your frontline workers can see and access.

  • Provide users with a download link - Select to send an automatic email to your frontline workers with a link to download the Dynamics 365 Field Service Mobile app.

Note

We recommend that you use the default security roles and mobile offline profiles when using the setup wizard.

After you've defined one or more frontline workers, you can:

  • View a list of all frontline workers, including names, email addresses, and home addresses.

  • View and update individual frontline worker details, such as their home address, security role, and mobile offline profile.

Create a frontline worker

After you select the Set up button to start adding users, you'll be directed to the Quick Set Up: Frontline Workers form. In the  Select Users section, you can select one or more frontline workers  in your organization.

After you've specified which workers that you want to add, you'll need to define specific properties to be associated with these users, including:

  • Characteristics - Defines a frontline worker's areas of expertise or certifications. These characteristics are typically used to schedule workers for jobs based on the characteristics that are assigned to the item being scheduled. A frontline worker can have multiple characteristics assigned to them.

  • Territories - Defines a frontline worker's geographical regions, such as city, state, county, or postal code, to inform scheduling. A frontline worker can have multiple territories assigned to them.

  • Time Zone - Defines the time zone that this worker is located in. Time zones can impact scheduling in the application.

  • Security Role - Controls the types of data and record types that a frontline worker can access and edit. (We highly recommend that you use the default role of Field Service - Resource.)

  • Field Security Profile - Controls which fields that a frontline worker sees for a record type. (We highly recommend that you use the default role of Field Service - Resource.)

  • Mobile Offline Profile - Controls what data is downloaded to the mobile application in offline mode. Unpublished profiles won't appear until published. (We highly recommend that you use the default profile of Field Service Mobile - Offline Profile.)

Note

Ideally, characteristics and territories would be set up by someone with administrative rights prior to adding frontline workers.

Important

If you're setting up multiple frontline workers on a single form, they'll all have the properties defined. If you need to set up additional workers with different properties, you'll need to go through setup again.

You can automatically send an email to the frontline workers that includes a link to download the Dynamics 365 Field Service Mobile app. To do so, before you save the frontline worker records, make sure that you select the Send frontline workers email with link to download app checkbox on the Quick Set Up: Frontline Workers form.

This email is predefined, and the contents aren't editable.

View and update frontline workers

After your frontline workers are set up, you might encounter scenarios where you need to modify information that is related to the worker. For example, the worker might be assigned a new territory. In those instances, you can modify frontline worker details as needed.

From the Home or Get Started page, select the View All button under the Set up your frontline workers section. A list displays that includes all your organization's frontline workers who have been configured. When you open a worker record, you can view and modify the details for this worker such as characteristics, territories, time zone, and so on, on the Bookable Resource form.

If you need to modify permission-related information for the worker, such as what data they can access or take offline, select the Permissions button on the command bar. This action opens the view or update the Permissions window, where you can update this worker's security role, field security role, and mobile offline profile.

Assign security roles to the Field Service Mobile app

In addition to ensuring that frontline workers have been assigned the necessary security roles to work with the application, you need to assign security roles to the Field Service Mobile application to specify which roles can access the application. For example, you previously assigned the Field Service-Resource role to frontline workers. If you don't also assign that role to the Field Service Mobile application, it doesn't know that those workers can use the mobile app.

Administrators can modify permissions from the Apps screen. If you're working in the Field Service application, select the Field Service text in the upper-left part of the screen. The Apps screen opens, where you can locate the Field Service Mobile app and then select the ellipsis (...). From the menu that appears, select Manage Roles. Select the roles that you want to provide access to.

Important

You should ensure that the Field Service-Resource and Field Service-Administrator roles have been assigned to the app.

Download and install the application

Before frontline workers can start using the Field Service Mobile application, they need to download and install the application onto their preferred device from that device's app store. As previously mentioned, the Field Service Mobile application is currently supported on IOS and Android devices. For more information, see Mobile device - supported platforms.

After the application has been installed on their device, and after they have the necessary security roles assigned to them, the frontline worker can sign into the application. After the worker has successfully signed in, the app will download important Field Service information as defined by administrators.
