Subcontractors as bookable resources

The bookable resource is a contract worker or an employee who can work on your subcontract. The Type of worker field on the bookable resource determines its type. The Vendor field defines the vendor that the bookable resource is associated with. By associating a bookable resource with a vendor as a contact, you can indicate that the contact is an employee of the vendor company. If the Type of worker or Vendor fields for a resource are changed, it will affect future validations on new records that the bookable resource creates, such as time entries. However, the changes don't invalidate existing records.

Setting up subcontractors as bookable resources in Project Operations is relatively simple:

  1. Go to Project > Resources and then select New.

  2. On that Bookable resource page, select the Resource Type, which can be User if the subcontractor needs access to Project Operations to enter time or expenses. Consequently, the subcontractor will need a valid license to access the system.

  3. Select Contact or Account for the Type of resource field. You'll use this field if the subcontractor doesn't require access to Project Operations but can be available for task assignments or bookings on projects. These types don't allow access to the system.

    You'll want to select Account to represent the company of the vendor as a bookable resource and then select Contact to represent the individual employees of the vendor.

  4. When you select the Resource type, you'll be prompted to select the corresponding User, Account, or Contact record.

  5. In the Type of worker field, select the Contract worker option to set up the subcontractor as the bookable resource. If the Type of worker field is left blank, the bookable resource will be considered as an employee.

  6. After you select the Contract worker as the type of worker, you can select the vendor that the resource works for.

  7. Select a time zone for the resource and then Save the record.

To ensure that your bookable resource can be assigned to a subcontract, verify that the resource is a contract worker. Additionally, make sure that you associate a Contact resource type with the vendor account as a Contact or a User type. Also, you'll need to ensure that the value of the Vendor field matches the value of the Vendor field for the subcontract.
