Role-based scenarios
Improved Windows Search delivers value across the organization. The following scenarios show how different roles benefit in real-world workflows, but they don’t represent all possible use cases.
IT and Operations
An IT administrator is troubleshooting a device issue that’s affecting a user’s ability to work. The user’s productivity is stalled, and the IT administrator needs to quickly locate a specific system setting, but navigating multiple menus to find it's slowing resolution.
They open Settings search and type “remote desktop settings.” Windows immediately surfaces the correct setting based on intent, allowing them to adjust the configuration without digging through system menus.
Result: Faster troubleshooting, reduced downtime, and more efficient IT operations
Marketing and Sales
A marketing manager is preparing a campaign update and needs the latest presentation deck, but file names are reused across campaigns and stored in different folders.
They open the taskbar’s Windows Search box and type “latest campaign presentation.” Windows prioritizes the most recent and relevant files based on activity and context, even without an exact file name.
Result: Faster campaign turnaround and more time focused on execution instead of searching
Finance
A financial analyst is preparing a quarterly report and needs a spreadsheet they updated last week, but the file location isn’t clear and multiple versions exist.
In File Explorer, they search “budget spreadsheet updated last week.” Windows identifies the correct file using time-based context and recent activity.
Result: Faster access to accurate data, shorter reporting cycles, and reduced risk of using outdated files
Legal
A legal professional needs to find the latest version of a vendor agreement, but multiple drafts exist with similar names and unclear versioning. They don’t remember what the file was called.
They use File Explorer search and type “vendor agreement draft.” Windows surfaces the most relevant document based on content and intent, helping them quickly identify the correct version.
Result: Faster document discovery, improved accuracy, and quicker response to legal or compliance requests
Human Resources
An HR specialist is onboarding a new employee and needs access to the correct onboarding checklist and templates, but these resources are stored across multiple locations.
They open the taskbar’s Windows Search box and type “employee onboarding checklist.” Windows returns the relevant template along with related materials used in previous onboarding workflows.
Result: More consistent onboarding experiences and improved HR efficiency
