Track Microsoft 365 Copilot readiness and usage across your organization

It's important for administrators to explore the readiness and usage of Microsoft 365 Copilot across their organizations. Doing so highlights its potential to transform the way employees interact with technology and perform their daily tasks. Understanding the readiness of an organization to adopt Microsoft 365 Copilot involves assessing various factors such as infrastructure, user proficiency, and integration capabilities. When organizations examine these elements, they can identify potential challenges and opportunities for seamless implementation.

The Microsoft 365 Usage dashboard shows you the activity overview across the Microsoft 365 apps in your organization. It enables you to drill into individual product-level reports to give you more granular insight about the activities within each app. This training unit examines two key reports in the Microsoft 365 Usage dashboard - the Microsoft 365 Copilot readiness report and the Microsoft 365 Copilot usage report.

With the help of these reports, you can easily see how people in your business are using Microsoft 365 Copilot services. For example, you can identify who is using a service a lot and reaching quotas, or who might not even need a Microsoft 365 Copilot license. Reports are available for the last 7 days, 30 days, 90 days, and 180 days.

Note

Data doesn't exist for all reporting periods right away. The reports typically become available within 48 hours, although it can sometimes take several days to become available.

People who have the following permissions can see the reports:

  • Global admins. To reduce the risk to your business, Microsoft recommends that only a few people in your company have this role.
  • Exchange admins
  • SharePoint admins
  • Skype for Business admins
  • Global reader (with no user details)
  • Usage Summary Reports reader (with no user details). By design, this role has Read access to user, groups, and other settings by default in the Microsoft 365 admin center, as the role is based on Microsoft Entra.
  • Reports reader
  • Teams Administrator
  • Teams Communications Administrator
  • User Experience Success Manager (with no user details)

Microsoft 365 Copilot readiness report

In the Microsoft 365 Copilot readiness report, which is in continuous enhancement, you can:

  • View which users are technically eligible for Copilot
  • Assign licenses
  • Monitor usage of Microsoft 365 apps that Copilot integrates best with

Note

The report becomes available within 72 hours, and once available, the usage data that appears on the report can have up to a maximum of 72 hours latency.

You can get to the Microsoft 365 Copilot readiness report by performing the following steps:

  1. In the Microsoft 365 admin center, go to Reports > Usage.
  2. Select the Microsoft 365 Copilot page.
  3. You can view Readiness on the first tab. Switch to the Usage tab to view adoption and usage metrics.

You can use this Microsoft 365 Copilot readiness report to see how ready your organization is to adopt Microsoft 365 Copilot. The following sections identify the summarized charts that are available in this report.

Ensure that your users are eligible for Copilot

This chart tracks the following metrics:

  • Total prerequisite licenses. This number is the sum of all users who have at least one license assigned to them or who could be assigned a license.
  • Users on an eligible update channel. This number is the sum of all users who are enrolled in Current Channel or Monthly Enterprise Channel for app updates in your organization and could be assigned with a Copilot license.

Track your organization's available Copilot licenses

This chart tracks the following metrics:

  • Assigned licenses. This number is the sum of all users who are assigned a Copilot license in your organization.
  • Available licenses. This number is the sum of all users who don't have a Copilot license assigned. This metric should be prioritized first.

Recommendations

Recommended action cards highlight important actions that organizations can take to prepare for Copilot. For example, moving users to a monthly app update channel and assigning available Copilot licenses. The last recommended action card promotes the Microsoft Copilot Dashboard, where you can deliver insights to your IT leaders to explore Copilot readiness, adoption, and impact in Viva Insights.

Enable people to use Microsoft 365 apps

This graph shows the number of users who could benefit the most from Copilot based on where Copilot provides the most value in day-to-day scenarios.

Copilot readiness details

In the Copilot readiness details chart, administrators can use the user table to get an at-a-glance view at:

  • The users that are assigned a Copilot license.
  • The configuration status of user devices.
  • The users who accessed Microsoft 365 apps that have Copilot enabled.

You can also export the report data into an Excel .csv file by selecting the Export link. Doing so exports the Microsoft 365 Copilot readiness data of all users with any engagement on Teams meetings, Teams chat, and Outlook email for Office docs in past 30 days. It also enables you to do simple sorting, filtering, and searching for further analysis.

Caution

To ensure data quality, Microsoft performs daily data validation checks for the past three days and fills any detected gaps. You might notice differences in historical data during the process.

The following User activity table describes the contents of the fields that are included in export report data. The table provides detailed information about the activities of users within the Microsoft 365 apps, which can be exported to a .csv file for further analysis.

Item Description
Username The user's principal name.
Has Copilot license been assigned Yes/No field indicating if the user has a Copilot license assigned to them.
Uses eligible update channel Yes/No field indicating if devices are configured to get the latest or monthly updates.
Uses Teams Meetings Indicates whether the user attended at least one meeting using Teams in the past 30 days.
Uses Teams chat Indicates whether the user participated in at least one chat using Teams in the past 30 days.
Uses Outlook Email Indicates whether the user sent at least one email using Outlook in the past 30 days.
Uses Office docs Indicates whether the user collaborated on at least one document or file using OneDrive or SharePoint in the past 30 days.
Suggested candidate for Copilot These users are the most likely in your organization to use Copilot features if assigned a license based on their Microsoft 365 app activity. Each week, the top 25% of eligible users in your organization are flagged in this column based on their use of the Microsoft 365 app where Copilot brings value (such as Microsoft Teams and Outlook). In general, users with higher Microsoft 365 app usage intensity are flagged as suggested candidates. Users not tagged in this column can still benefit from Copilot; this column is intended to help organizations prioritize users for license assignment as part of initial Copilot rollout.

Microsoft 365 Copilot usage report

In the Microsoft 365 Copilot usage report, which is also in continuous enhancement, you can:

  • View a summary of how users’ adoption, retention, and engagement are with Microsoft 365 Copilot
  • View the activity of every Copilot user in your organization

Note

For Copilot activity on a given day, the report becomes available within 72 hours of the end of that day.

You can get to the Microsoft 365 Copilot usage report by performing the following steps:

  1. In the Microsoft 365 admin center, go to Reports > Usage.
  2. Select the Microsoft 365 Copilot page.
  3. Select the Usage tab to view adoption and usage metrics.

You can use this Microsoft 365 Copilot usage report to see the usage of Microsoft 365 Copilot in your organization. You can view several charts of Microsoft 365 Copilot usage, which highlight the enablement number and the adoption of the enablement. The following sections identify the charts that are available in this report.

Microsoft 365 Copilot usage

The Microsoft 365 Copilot usage chart includes the following metrics:

  • Enabled users. The total number of unique users in your organization with Microsoft 365 Copilot licenses over the selected time period.
  • Active users. The total number of enabled users in your organization who tried a user-initiated Microsoft 365 Copilot feature, in one or more apps in Microsoft 365 over the selected time period. A user is considered active in a given app if they performed an intentional action for an AI-powered capability. For example, if a user selects the Copilot icon in the Word ribbon to open the Copilot chat pane, this action doesn't count towards active usage. However, if the user interacts with the chat pane by submitting a prompt, this action counts towards active usage.
  • Active users rate. This rate is calculated by dividing the number of active users in your organization by the number of enabled users.

Adoption by app

The Adoption by app chart provides a Summary view and a Trend view. The Summary view displays the number of enabled and active users of Microsoft 365 Copilot apps for the selected period.

In the hover status in Summary view, you can see the selected time frame and data refresh time.

OneNote All Microsoft 365 Copilot in OneNote features are automatically included in the Microsoft 365 Copilot usage report. Loop All Microsoft 365 Copilot in Loop features are automatically included in the Microsoft 365 Copilot usage report. Usage of any Copilot in Loop feature counts towards the Active users metric and is indicated in the per-user Last activity date (UTC). Important

Your organization must have optional diagnostic telemetry for Office apps enabled for Windows, Mac, iOS, and Android in order for comprehensive usage information to be captured in this report. Learn more about diagnostic telemetry settings.

The Trend view displays the daily time trend of Microsoft 365 Copilot among Microsoft 365 productivity apps for the selected period. When switching to Trend view, you can select one product in the dropdown list to see daily usage.

You can also export the report data into an Excel .csv file by selecting the ellipses and then Export in the top-right corner.

Make the user-specific data anonymous

A Microsoft 365 Global administrator can make the data in the Microsoft 365 Copilot readiness and usage reports anonymous. Doing so hides identifiable information (using MD5 hashes) such as display name, email, and Microsoft Entra Object ID in report and their export.

  1. In Microsoft 365 admin center, go to the Settings > Org Settings, and under the Services tab, select Reports.
  2. Select Reports, and then choose to Display anonymous identifiers. This setting gets applied both to the usage reports in Microsoft 365 admin center and Teams admin center.
  3. Select Save changes.
