Advanced AutoText categorization
After you assign core procedure-code categorization, you can refine how and when AutoText appears by using defaults, patient context, and Auto Categorize actions. In PowerScribe One, these settings help ensure that templates are relevant to the report being created.
Advanced categorization elements
- Define which exams the AutoText applies to.
- Build on the procedure-code assignments that determine when templates appear in the Report Editor and Default Template dropdown.
System behavior
- Categorized AutoTexts appear:
- In search results.
- In the Default Template dropdown, when relevant.
- Proper categorization ensures that the system:
- Loads the correct default template automatically.
- Filters available templates based on report context.
Procedural guidance
Follow these steps after you assign initial procedure-code categorization.
Review or update procedure codes, if needed
- Open the AutoText in the AutoText Editor.
- Select Procedure Codes.
- Take one of the following actions:
- Select one or more relevant procedure codes from the search or filter results, and then select Add to assign them to the AutoText.
- Select one or more assigned procedure codes in the Assigned pane, and then select Remove to unassign them from the AutoText.
- Choose whether the AutoText applies to:
- ANY to apply when one code matches.
- ALL to apply only when all codes match.
- Select OK.
Set default behavior, if needed
- Open Settings in the AutoText Editor.
- Select the Default dropdown.
- Choose:
- Report to load at report start.
- Addendum if used for addenda.
- Confirm that the AutoText has at least one distinguishing condition, for example procedure or patient criteria.
Apply patient context filters, if needed
- Define:
- Age range, if applicable.
- Sex, if applicable.
- Clinical classification, if applicable.
- Ensure that complementary AutoTexts exist if you define restricted ranges, for example pediatric compared with adult.
Save and validate
- Select Save.
- Test the AutoText:
- Open a report with a matching procedure.
- Confirm that:
- The AutoText appears in search.
- The AutoText appears in the dropdown, if relevant.
- The AutoText loads automatically if it's set as default.
Use Auto Categorize from the Report Editor
While in the reporting workflow, you can right-select an AutoText from the lower pane and select Auto Categorize. This action automatically assigns the procedure code of the open exam to the selected AutoText.
Applied scenario
You create a template for pediatric ultrasound abdomen studies.
You:
- Assign ultrasound abdomen studies to the template.
- Select the default attribute for the template.
- Set the age range as desired.
- Save the template.
When you open an exam that meets the procedure and age criteria:
- The system automatically loads the correct template based on procedure and patient demographics.
- Only relevant templates appear in the dropdown.
This approach reduces manual selection and improves consistency in reporting.
Accessibility and usability notes
- Use clear, descriptive template names to improve recognition in filtered lists.
- Avoid over-categorizing, which can hide templates from expected workflows.
- Always validate categorization by testing in a real report scenario.
- Use consistent categorization rules across teams to support standardization.
- Ensure that complementary templates exist when applying restrictive filters, such as age or gender.
