Now that you understand the basics, let’s review some scenarios where you’d want to use Teams meetings at ProseWare, Inc.

Scheduled meetings

Briana is the operations director for ProseWare, Inc. Her team includes 12 regional managers who look after several stores and report to her. A large part of her day is spent in meetings with each regional manager, sharing slide decks and other essential information. Often, the same topics and questions arise. Using Microsoft Teams meetings, Briana’s personal assistant can schedule a single reoccurring weekly video meeting with all the regional managers. By enabling automatic recording for audio, video and screen sharing for all meetings, she ensures any essential information is available later for reference.

During this meeting, Briana shares her screen to show essential data. Participants can also use the meeting features to raise their hands to ask a question, or show a reaction.

Live events

Omar works in the head office as part of the new products group. He splits his time between the main office and the regional stores dotted around the country/region, demonstrating new products to frontline staff. While he really enjoys meeting everyone and showing off the new products, he wonders if there’s a better way to share detailed information.

Omar chooses to use a Teams live event to reach frontline workers in all the stores. However, he doesn’t want to lose the one-to-one experience of having a live on-premises audience and plans to travel to a different store each week. Omar creates a new live event and adds each of the store’s training center rooms as participants. He sees an opportunity to build a library of product presentations, and opts to have each of the sessions recorded.

Independently, Omar emails all frontline workers with an invitation to attend the live event in their local training center room. Omar asks Isaac to act as the producer for his live event. Isaac will stay at the head office and oversee the user experience.

On the day of the live event, Omar and Ethan travel to the target store, and prepare for the presentation. Omar presents the live event, while Ethan assumes the role of Q&A mediator to curate the questions coming from other stores. Using Standout presenter mode, Omar demonstrates to a live audience while broadcasting the live stream to the other in-store training rooms.

Periodically, he invites product owners from other companies to attend and present at these events. Having Isaac produce the events and Ethan manage the Q&A allows Omar to focus on the content delivery, resulting in effective presentations.

Webinars

Monica works in the customer service center and regularly holds face-to-face meetings for training and workshops. She wants to use Teams meetings to run online customer workshops to reach a larger audience.

Teams meetings allow Monica to schedule weekly webinars to cover regular training topics. She has a database of customers who have previously received training and those who are on a waiting list. Monica would like to open up her webinars to a wider audience by creating a public registration page.

In the webinar registration form, Monica adds key information like the start date and time, duration, event description and bios of the speakers. The form also lets Monica add two questions:

  • How did they hear about the event?
  • What are they hoping to get from it?

To include everyone, Monica sets up real-time closed captioning and makes available the transcripts from each webinar. She records the sessions and ensures that all subscribers can see them after they've finished.

When the webinar is created, Monica uses the event link to promote it on the company website and emails those details to select customers.

After the webinar is finished, she uses the registration report to hold follow-up calls.
