Use Viva to get actionable insights to foster well-being and productivity
Employee well-being is critical to an organization's success. Burnout, stress, lack of focus, and personal time can all negatively affect the well-being of employees. Affected employee well-being can lead to losing motivation, productivity, and ultimately negatively influence the reputation and performance of Lamna Healthcare as an organization.
Identify the scenario
Lamna, a large organization that is active in the healthcare industry, has an acute awareness of the importance of well-being and the loss and costs that it can lead to over time. The leadership has agreed it's vital to ensure employee well-being for all staff members. They've decided Viva suite should be used across the organization to help the organization support the well-being of employees. The Office of Information Technology has been given the mission to implement Viva suite in a way that addresses these issues.
Set up Viva Insights
The Office of Information Technology will first set up Viva Insights. The team first works with stakeholders in the organization, such as HR and leadership, to coordinate and plan for the adoption of Viva Insights. The team discusses how to handle user privacy for employees, which employee groups should gain what roles, and the communication plan for adoption.
Lamna’s Microsoft 365 global admin will assign licenses, roles, and configure user access for Viva Insights. The global admin assigns Viva Insights admin so that they can work together to set up advanced insights. The Microsoft 365 global admin is also a Microsoft Teams admin, who will deploy the Viva Insights app into Microsoft Teams so that it will be accessible to everyone across the organization.
The Office of Information Technology then works with executive sponsors (like business leaders and their HR Business Partners) to implement the communication plan to support adoption across the organization. For example, the leadership can send out an announcement through Viva Connections to explain how Viva Insights can benefit and support people across the organization. Employees can also be directed to the Viva Engage community and ask questions about Viva Insights there.
Once successfully rolled out, Lamna Healthcare can begin using Viva Insights along with other Viva apps to support employee well-being and productivity. Let’s look.
Lamna promotes personal well-being and productivity with Viva Insights
First, the Communications office works with Human Resources to promote awareness of Viva Insights among the employees. Seminars, news and announcements are updated through Viva Connections. Employees at Lamna have learned that they can view insights specific to their working habits from the Viva Insights app in Teams, on the web, or directly in Outlook. Employees now understand how Viva Insights can help them learn more about their work habits. With the help of Viva Insights, employees now can work in a healthier way and realize their full potential.
Lamna managers protect team’s productivity and well-being
In addition, managers receive training from Human Resources on how to interpret their teams' overall working habits to identify the potential for stress or burnout. For example, the clinic operation manager uses the Teamwork habits tab to reflect on their interaction with the team members, the team’s meeting habits, and the quiet hours impact. Based on the information, the manager is happy to see that most of their team meetings are less than one hour, which gives the team more time to focus on tasks. The manager also quickly realizes that 65% of meetings currently overlap with other meetings. They then decide to be more thoughtful and add some buffers when setting up future meetings, so that meetings won’t overlap.
Lamana uses Viva Engage to create sense of belonging
Lamna Healthcare also encourages employees to use Viva Engage to share personal best practices and guides in a collaborative and open environment. Staff members and teams from various departments create communities around improved well-being and share their experiences using stories and storylines. Lamna can also provide employees with extra tools and resources via Viva Connections. For example, Lamna can have a custom Dashboard card in Viva Connections that spotlight well-being improvement strategies for everyone.
Set and track well-being objectives
Lamna’s executive leadership thinks of its employees’ well-being as one of the organization’s top priorities. Therefore, the leadership creates a wellbeing-based objective in Viva Goals. Department leaders and team managers create department and team-level well-being-focused goals and objectives to align with the organizational goal.
Managers and senior leadership can then use Viva Insights to monitor and track the progress of the goal of supporting employees’ welling-being and productivity:
For instance, Lamna’s Chief Executive Officer can get a general view of Lamna employees’ work trends and habits in the Organization trends tab in the Viva Insights app in Microsoft Teams or on the web:
Here, the CEO is able to see organization-wide information about key indicators of burnout like:
- The percentage of employees collaborating outside working hours every week.
- The percentage of employees having less than 15 minutes of one-on-one time with their managers weekly.
Lamna’s CEO then asks department heads and leaders to adjust their teams’ workload and meeting habits to ensure that all employees’ well-being and productivity are protected and promoted. Department heads and team leaders will also update their team employee well-being OKR in Viva Goals using the data provided by Viva Insights to reflect their team’s progress on this OKR.
