By setting up Learning Agent, administrators can activate key capabilities, connect content sources, and ensure that learners receive relevant and contextual learning experiences aligned with organizational needs.
Capabilities are enabled based on assigned licenses, with some features available broadly and others requiring specific subscriptions. For detailed information, refer to the licensing matrix and individual feature documentation.
This article guides you through the steps required to set up Learning Agent.
Platform support
Learning agent is available across multiple Microsoft 365 experiences:
- Microsoft 365 Copilot (web and desktop).
- Microsoft Teams (web and desktop).
- Copilot Chat experiences (coming soon).
- Side-by-side experiences in Word, PowerPoint, and Excel (coming soon).
This broad platform support ensures users can access Learning agent consistently across their daily workflows.
Admin roles and permissions
Learning agent setup is managed through following Microsoft 365 roles.
Global Administrator
Responsible for deploying and governing Learning agent at the tenant level.Knowledge Administrator
Manages learning-specific configuration, including content sources and feature settings.
Deploy Learning agent
To enable Learning agent Global Administrators can follow these steps in the Microsoft 365 admin center.
Step 1: Open Agents in the Microsoft 365 admin center
Sign in to the Microsoft 365 admin center using a Global Administrator account. Navigate to the page where Copilot agents are managed.
Step 2: Find and deploy Learning agent
Locate Learning agent in the list of available agents. Choose whether to deploy it to all users or selected Microsoft 365 groups, and save your selection.
Step 3: Verify access and complete configuration
Confirm that assigned users can access Learning agent in supported experiences. After deployment, complete learning-specific configuration in Viva Learning as needed.
Manage user access
Administrators can manage user access to Learning agent using the following controls:
Install or remove the agent
Control whether Learning agent is available to users in the organization.Target deployment to users or groups
Limit access to specific users or Microsoft 365 groups during rollout.Control access through tenant policies
Allow or restrict access based on organizational compliance and policy settings.
These controls help administrators manage availability and ensure alignment with organizational requirements.
User setup
Users can add and access Learning agent directly from Microsoft 365 Copilot experiences.
Steps to add Learning agent
- Open Microsoft 365 Copilot.
- Select All agents to open the agent store.
- Search for Learning agent.
- Select the agent and choose Add.
Once added, users can access Learning agent within Microsoft 365 Copilot and Microsoft Teams experiences.
