Microsoft Copilot for Sales admin settings

As a tenant administrator or CRM (customer relationship management) administrator, you can use administrator settings to customize how your users experience Copilot for Sales in Outlook and Teams, including who can use AI capabilities, for all environments in your organization.

Prerequisites

Who can access administrator settings?

Administrator settings are visible only when you sign in with administrator credentials to Copilot for Sales in Outlook. The permissions you need depend on which CRM you use.

  • Dynamics 365: You must have the System Administrator or System Customizer role. If you're using a custom security role, you might need more privileges to use Copilot for Sales.

  • Salesforce: Your user profile must have the Modify All Data or Manage Data Integrations permission. Permissions need to be set in your user profile, not in a permission set that's assigned to you.

If you change a user's permissions or security roles in your CRM, ask the user to sign out of Copilot for Sales in Outlook and sign in again for your changes to be reflected. Changes in user permissions or security roles in the CRM can take up to 15 minutes to reflect in the Copilot for Sales app in Teams.

Access administrator settings

Teams and Outlook both play a part in how you access the Copilot for Sales administrator settings and what you can change.

You can access the administrator settings only in the Copilot for Sales app in Teams. The settings apply to the CRM environment that you sign in to in Copilot for Sales in Outlook. To customize Copilot for Sales for a different environment, switch to that environment in Outlook.

  1. Sign in to Copilot for Sales in Outlook with your administrator credentials.

  2. On the Welcome to Copilot for Sales! page, select Sign in to get started, and then select your CRM and environment.

  3. Sign in to Teams with your administrator credentials.

  4. In the Teams navigation bar, select Copilot for Sales. If Copilot for Sales isn't visible, select View more apps (), and then select Copilot for Sales. If you see the Copilot for Sales window asking you to either add or open the app, select Add or Open to get the latest features.

  5. Select the Settings tab.

  6. Change the settings you need to.

Add the Copilot for Sales app to Teams

If the Copilot for Sales app isn't already added to Teams, you can add it from the Teams app store. Note that the app is added only for you, not for your entire organization.

  1. Sign in to Microsoft Teams with your administrator credentials.

  2. In the navigation bar on the left, select Apps.

  3. Search for Copilot for Sales and select it, and then select Add.

FAQ

Can I access Copilot for Sales administrator settings if I don't have Microsoft Teams?

Administrator settings are accessible only in the Copilot for Sales app in Teams.

Which CRM environment do the administrator settings apply to?

The settings are specific to the environment you're signed in to in Copilot for Sales in Outlook. If you want to customize Copilot for Sales for another environment, you must switch to that environment in Outlook.

How can I switch CRM environments?

If your organization provides multiple environments for you and your sellers to work in, make sure you're signed in to the right one in Outlook before you change any Copilot for Sales settings in Teams. If you need to change a setting in a different environment, switch to that environment first.

  1. Sign out of Copilot for Sales in Outlook.

  2. On the Welcome to Copilot for Sales! page, select Sign in to get started, and then select your CRM and the environment you want to customize.

  3. Come back to the Copilot for Sales app in Teams and refresh the Settings tab to confirm you're working in the correct environment.

Why do I see the message "Sign in to Copilot for Sales in Outlook first"?

You need to sign in to a CRM environment in Copilot for Sales in Outlook before you can open the Copilot for Sales Settings tab in Teams.

  1. Sign in to Copilot for Sales in Outlook with your administrator credentials.

  2. On the Welcome to Copilot for Sales! page, select Sign in to get started, and then select your CRM and environment.

  3. Come back to the Copilot for Sales app in Teams and refresh the Settings tab.

Why do I see the message "Settings are coming soon"?

You signed in to Copilot for Sales in Outlook or Teams with an account that doesn't have admin rights. Personal settings for Copilot for Sales will be accessible in the Settings tab soon.

If you're signed in with tenant administrator or CRM administrator credentials, you shouldn't see the "Settings are coming soon" message. You should see the administrator settings page. If you do see this message, make sure you have the right permissions or security roles.

Can I change the administrator settings on my mobile device?

Administrator settings can't be opened on phones, small tablets, or windows that are narrower than 768 pixels. You must use a desktop or laptop to access the settings in the Teams desktop app or the web app.

Why can't I view the administrator settings in the Teams dark or high contrast theme?

The Teams dark and high contrast themes aren't supported.
