Initiate change in contact information (CICR)

The capability to Change Contacts associated with an active agreement has onboarded to VL Central. This update retains all features of VLCM/e-agreements while enhancing the user experience to streamline the CICR process. One major enhancement is the introduction of notification to the impacted users to avoid any security risks.

Scope: Enterprise 6 and Enterprise Subscription

Out of Scope: Non-Enterprise programs. To be continued via VLCM until further notice.

Prerequisites: The user should have either Contract Creator (to create packages) or Contract Submitter (to create and submit packages) role in VL Central.

Navigation:

Step 1: Select Contracts tile from the VL Central homepage.

Step 2: Click on the Raise Request button on the top right corner of the contract’s homepage.

Step 3: Choose Change Contacts option from the dropdown.

Step 4: Select the Partner Organization which is listed on the agreement whose contacts you're looking to update. The dropdown displays the list of organizations where you have Contract Creator/Submitter role. If you don't see any organization you belong to, it might be because you have a Viewer role in that organization and aren't permitted to create a package

Change contact pop uo Step 5: Search for the agreement number on which you want to perform CICR.

Step 6: Select the Agreement Number and click on Create Request button.

Step 7: On the package summary page, you can view all the roles linked to the agreement. You can also view the agreement details in the header, the selected agreement type, and the available actions.

a. Replace Contact:

Select the role which you want to replace and click Replace Contact. You are able to see the list of contacts associated with that organization. Then select the contact from the list and click Replace Contact.

If you don’t find the contact in the list, you can add a new one using Create New Contact option.

Note: You can also select multiple contacts and replace them together at once. Select multiple contacts

b. Add Contact:

Add Contact will only be enabled for those roles which allow multiple contacts to be associated with it. Select the contact role in which you want to assign more contacts and click Add Contact.

c. Remove Contact:

Remove Contact will only be enabled for those roles which are non-mandatory. Select the contact role which you want to remove and then click Remove Contact button. Click on Confirm if you're sure you want to remove the contact.

d. Edit Contact:

You can edit any existing contact details like First Name, Last Name, Email etc. Select the role whose contact you want to edit. Then click on the Edit Contact button.

Confirm if you're sure you want to edit the contact as the changes are effective on every agreement where the contact is listed on any role.

After confirming, make the required edits and click update.

Step 8: After making all the updates, click Next. You're directed to the summary of all the changes. You can review the summary and submit it.

This marks the completion of a CICR package.

Step 9: After package submission, all the impacted users along with the NTC and package submitter will get email notifying about all the changes.
