This article provides guidance on how to use Volume Licensing Central for Campus and School Agreement (CASA).

Pointers on submitting an initial order

  1. Institutions must submit an initial order to purchase the software products and online services they'll deploy under the Campus and School Agreement (CASA) subscription enrollment.

  2. An initial order that meets the minimum requirements for CASA enrollments should be placed within 30 days of the start date of the enrollment.

  3. For CASA, initial orders should be equal to the Education qualified user (EQU) count for the Education Platform Products (EPPs) and greater than 1,000 users.

  4. Office 365 Platform Online Services (OLS) must meet the minimum order requirement applicable to each region or channel.

For EES, EQU count and EPP requirements (as outlined in section 2.3 of the Agreements Operations Academy) are the minimum requirements for the initial order.

EQU: 470 users (faculty or FAC) Student (STU):  3,500 Example agreement.

Submission of initial order

1.Go to the Search for Agreement page. You can search either by the agreement’s Enrollment Number or by Customer Name. Enter your search words in the Search field, then either press the Enter key or select the magnifying glass icon.

2.Review the search results and select the agreement you want to create the order for.

3.Select Create New Order to compose the initial order details. The Usage Date in CASA for the initial order always needs to match the beginning of the period coverage. In this example, it should be May 1, 2024, because that’s the agreement start date.

4.When submitting an anniversary order, select the Anniversary Order button. The anniversary order is used for covering years 2 and 3 of the enrollment.

5.The beginning of the subscription period to cover should match the Next Anniversary date. In this example, the enrollment started on June 26, 2022, so the second anniversary should start on June 26, 2024. Like initial orders, CASA anniversaries need to fulfill minimum order requirements that the customer committed to in the signed agreement.

Submission of products in VLC

  • FAC represents the EQU organization-wide count.
  • STU represents student options.
  • ACP represents additional products. 

For CASA, you must choose the correct program offering (FAC or STU) because there’s a difference in costs between these SKUs. If you need to purchase the same SKU with different offering options, use the Clone option, which is the second icon with two rectangles.

Step-ups

  • Step-up SKUs always need to be applied over the base SKU that’s already invoiced.
  • Don’t mix base SKUs and step-up SKUs in initial orders.
  • VLC Orders always lists all valid base SKUS to be updated. Just select the blue arrow to choose the valid opportunities.
