Newly created prompts are private by default. This default setting means that only the person who created the prompt can see and use it in Copilot Studio, Power Automate, Power Apps, and Microsoft. This default setting gives the maker time to test and evaluate the prompt in apps or workflows and ensure its accuracy before sharing it.
If you want other users of the environment or groups to use your prompt in Power Apps or Power Automate, you need to share it.
Use the Share action
Every prompt owner can access the Share action on the My prompts page in Power Automate, Power Apps, and Microsoft Copilot Studio. The system administrator of the environment or any security role that has the share permissions can also access it. Select Share for the respective prompt to share a prompt.
When you share a prompt, choose one of these permissions:
- User: Recipients can run and use the prompt in Power Platform experiences that use Dataverse, such as apps, flows, and agents.
- Co-owner: Recipients can run and use the prompt, and can also edit, share, and delete the prompt.
Understand the Share panel
When you select the Share action, a Share panel appears. This is where you select users or teams in your organization with whom you'll share your prompt.
Share permissions
Use this table to choose the right permission level for each recipient.

Prompt list views
The prompts visible to you appear in three different views on the Prompts page.
- My prompts: The prompts you created.
- Shared with me: The prompts that others shared with you.
- All prompts: All the prompts that you created or are shared with you.

Can I allow other users to edit my prompts?
Yes. Share the prompt as Co-owner to give recipients permission to edit it. If you share it as User, recipients can only run and use the prompt.
Can I stop sharing a prompt?
Yes. To stop sharing a prompt, select Share > <user or team name>. Then, select the X to stop sharing the prompt with user or team.
