Prospective vendor profile (form)

Click Procurement and sourcing > Common > Vendor requests > Vendor profile pending approval. Double-click a vendor profile.
Use this form to review the profile of a prospective vendor. By using workflow, you can approve or reject the vendor’s profile. After the vendor’s profile is approved, the vendor becomes a vendor for your organization.

Vendor information |
View the vendor’s address and contact information. |
Contact person information |
View details about the contact person for the vendor. |
Categories |
View the procurement categories that the employee is requesting that the vendor be added to. |
Payment information |
View the bank details and payment profile for the vendor. |
Questionnaire information |
View the questionnaires that the vendor completed when the vendor profile information was submitted. You can also view information about the vendor’s responses to the questionnaires. |

Edit record |
Update fields that are associated with the prospective vendor profile. Approve or reject the profile by using workflow. |
Add vendor to another legal entity |
Add the vendor to another organization or legal entity. |
Update profile |
Make additional fields in the form editable so that you can enter or modify the vendor profile information. This button is available only if the No online capabilities check box was selected in the vendor request form. Because the requested vendor has no online capabilities, they cannot update their profile in the vendor self-service portal. Updates to the prospective vendor’s profile are made in this form. |
Address book |
Create or update addresses for the vendor in the address book. |
Change vendor name |
Change the name of the vendor in the prospective vendor profile. |
Advanced |
Open the Manage addresses form, where you can make changes to the vendor addresses. For more information, see Manage addresses (form). |
Map |
Open an online map for the selected address. |
Answer |
View the vendor’s responses to the selected questionnaire. |

Open a menu that contains the following items:

Fields
Field |
Description |

Vendor name |
The name of the vendor as it was submitted by the employee in the new vendor request. |
Search name |
The search name that will be stored for the vendor for future vendor searches. For more information, see Vendor search criteria (form). |
Reason code |
Select the reason code that indicates why the request is being approved or rejected. Define vendor reason codes on the Vendor reasons form (Click Procurement and sourcing > Setup > Vendors > Vendor reasons.) |
Reason comment |
Enter a comment to explain why the request was approved or rejected. |
Purpose |
View the purpose of the selected address. For example, the address may be used for deliveries only, or for deliveries and services. |
Primary |
View whether the address is primary. A primary address is the principal postal address for the selected party. A primary address can also be the default address for the party. |
Category name |
The procurement category in which the employee requested that the vendor be allowed to do business or the vendor is requesting to be allowed to do business. |
