Drafts Are Saving to My Drafts Folder Instead of My Boss’s. How to fix this?

I’ve been given full delegate access to my boss’s Outlook inbox. I can view and manage his emails without any issue. However, when I create a draft email on his behalf, it always saves to my Drafts folder and not his.

I want the draft to save directly into his Drafts folder so he can review it easily.

Is there a way to make Outlook save drafts to the principal’s Drafts folder instead of mine? I'm using the Outlook desktop app on Windows.

This is the default behavior in Outlook when working with delegate access. Even if you're composing an email "From" your manager’s address, Outlook treats you as the active author of the draft. Therefore, the draft is saved in your mailbox until it is sent. This design ensures privacy and control, as drafts are considered a work-in-progress by the person typing them.

Although Outlook does not offer a direct setting to automatically save drafts to the principal’s Drafts folder, here are a few effective workarounds:

1. Manually Save the Draft to Your Manager’s Drafts Folder

  • While composing the email (ensure the "From" field is set to your manager’s address), click File > Save As.
  • In the Save dialog, navigate to your manager’s mailbox and select the Drafts folder.
  • Click Save.
  • This ensures the draft is stored directly in their mailbox.

2. Compose and Save to Your Drafts, Then Move It

  • Compose the email as usual; it will auto-save to your Drafts folder.
  • When ready, drag and drop the draft into your manager’s Drafts folder in the folder pane.
  • Alternatively, right-click the draft, choose Move > Other Folder, and select their Drafts folder.

3. Consider Using a Shared Mailbox (If Applicable)

  • If your manager agrees and the workflow allows, using a shared mailbox (e.g., [******@company.com]) can simplify draft management.
  • Drafts composed from a shared mailbox are saved directly in that mailbox’s Drafts folder.
  • Note: This is not suitable for personal mailboxes and requires setup by your IT administrator.

Since Outlook’s default behavior doesn’t support automatic saving of drafts to the principal’s folder, we recommend using the “Save As” method for full control and visibility.
