Dear Duane Pinington,

Thank you for reaching out to Microsoft Q&A forum regarding the Automatic Replies feature in Outlook. I'll provide the guideline below to help you enable it, based on your account type and Outlook version. If the feature isn't directly available (for POP/IMAP accounts), I'll include a workaround using rules. First off, let verify Your Account Type:

  • Open Outlook and go to File > Account Settings > Account Settings.
  • In the Email tab, look at the Type column for your account.
    • If it's "Microsoft Exchange" or similar, automatic replies should be available.
    • If it's "POP3", "IMAP", "Gmail"..., the feature isn't supported directly.

Now let turning On Automatic Replies:

For the New Outlook on Windows:

  1. Click View > View settings > Accounts > Automatic Replies.
  2. Switch on Turn on automatic replies.
  3. If you want, set a specific time frame.
  4. Type in your messages for people inside and outside your organization.
  5. Hit Save.

For Classic Outlook:

  1. Go to File > Automatic Replies.
  2. Pick Send automatic replies.
  3. Add a time range if that fits your needs.
  4. Write your messages in the Inside My Organization and Outside My Organization tabs.
  5. Click OK.

For Accounts That Don't Support It Directly, the workaround is to use Rules (Keep in mind, this only works if Outlook stays open on your computer.)

Create a Template:

  1. Compose a new email with your out-of-office message.
  2. Save as Outlook Template (*.oft) via File > Save As (default: C:\Users[YourUsername]\AppData\Roaming\Microsoft\Templates).

Set Up the Rule:

  1. Go to File > Manage Rules & Alerts > New Rule.
  2. Select Apply rule on messages I receive > Next.
  3. Skip conditions > Next (confirm if prompted).
  4. Check reply using a specific template > Select your template from User Templates in File System.
  5. Add exceptions if needed > Next > Name the rule > Finish.
  6. Enable/disable via Manage Rules & Alerts.

If you encounter any errors or need further assistance, please reply with details about your Outlook version, account type, and any error messages. We're here to help!
