Dear @Limon, Shoshana,
Thank you for posting your question in the Microsoft Q&A forum. I understand you’d like to reuse a Microsoft Form in a Teams channel and have new responses populate in a separate Excel sheet within the same file, so you can track changes over time.
Currently, Microsoft Forms links each form to a single Excel workbook by default. When you reuse the same form, all new responses continue to populate in the original sheet. There isn’t a built-in feature to automatically create a new sheet for each cycle within the same file. This is why you’re seeing responses tied to the same Excel sheet.
The easiest and most reliable method is to copy the form for each new cycle:
- Open your existing form in Microsoft Forms.
- Click “…” (More options) > Copy.
- This creates a new form with the same questions.
- Share the new form in the same Teams channel.
- A new Excel file will automatically be created for responses in the channel’s Files tab.
This way, you keep historical data in separate files and can track changes over time.
For alternative options
- Clear Responses: You can clear all responses in the current form and reuse it, but you’ll lose historical data unless you export it first.
- Power Automate: For advanced tracking, you can create a flow that appends responses to new sheets or files automatically. However, it requires initial configuration and some technical knowledge. and the flows can break if file paths or form IDs change. The advanced features may need premium licenses. If you would like to use Power Automate, please let me know, I would suggest you the flow
