I am unable to share my file either as a presentation or document type or pdf type by none of the microsoft office apps (Word, Excel, Powerpoint). It is continuously showing "Mapi Failure" and "Unable to Share" errors. What can I do?

I am unable to share my file neither as a pdf nor as a document type in any of the microsoft office apps (Word, Excel, Powerpoint). It is continuously showing Mapi failure even even after I used modify option and doing online repair. But the issue still remains the same. Please suggest how can I solve this asap?!

If you are getting a MAPI failure, the likely reason is that you have New Outlook set as your default mail client. New Outlook is not MAPI-compliant, so it cannot be used for mail merge or for sending files directly from Office programs. You need to use Classic Outlook instead. You should find a toggle at the top right corner of Outlook to change programs.

    Dear @SHUBHAM KAMBLE,

Thank you for reaching out to Microsoft Q&A forum.

I understand that you're having an unexpected issue sharing your file. The error messages "MAPI Failure" and "Unable to Share" when trying to share files directly from Word, Excel, or PowerPoint are highly indicative of a deep-seated configuration problem with your Outlook email profile.

From my research, MAPI (Messaging Application Programming Interface) is the protocol Microsoft Office applications use to communicate with Outlook to send email. If MAPI fails, the sharing function fails across all Office apps.

As a forum moderator, I genuinely wish I could directly access your account or delve into the backend systems to diagnose and fix this for you. However, our role here is limited to providing general guidance and solutions that can be applied by users.

Since you haven’t specified your account type, I may not be able to provide an exact solution. However, assuming you're using a work/school account, you may consider the following steps:

1: Repair or Recreate the Outlook Profile

The MAPI failure almost always means the data file or the registry entry for your Outlook profile is corrupted.

    A. Set a Default Outlook Profile

    1. Close all Office applications (Word, Excel, PowerPoint, and Outlook).
    2. Open the Control Panel (search for it in the Windows Start Menu).
    3. Change the view to Small icons or Large icons if necessary.
    4. Click on Mail (Microsoft Outlook).
    5. In the Mail Setup dialog box, click Show Profiles.
    6. Ensure that the option "Always use this profile" is selected, and that your main, functional Outlook profile is chosen from the dropdown list.

    B. Create a New Profile

If setting the default doesn't work, the existing profile is corrupted. You need to create a new one.

    1. In the Mail Setup dialog box (from Step A), click Show Profiles.
    2. Click Add... to create a completely new profile (give it a name like "TestProfile").
    3. Add your email account to this new profile.
    4. Once the account is set up, select "Prompt for a profile to be used" at the bottom of the Mail Setup dialog box.
    5. Restart Outlook and choose the new profile. Now, test the sharing function in Word/Excel/PowerPoint.

2: Check Windows Default Email Client

Windows must recognize Outlook as the primary application for email.

    1. Go to Windows Settings > Apps > Default apps.
    2. Scroll down or search for "Outlook."
    3. Click on Outlook and ensure that it is set as the default app for all relevant email and MAPI-related file types.

    3: Office Reinstallation (Last Resort)

If the MAPI failure persists after confirming the profile and default client settings, the issue might be a registry corruption deep within the Office installation that the Online Repair failed to fix.

    1. Use the official Microsoft Support and Recovery Assistant (SaRA) tool. This tool performs a complete and thorough uninstallation that removes all residual files and registry keys.
    2. Reinstall Microsoft Office through your Microsoft 365 account portal or the installation file provided by your organization.

I hope this information is helpful. Please follow these steps and let me know if it works for you. If not, we can work together to resolve this. Thank you for your patience and understanding. If you have any questions or need further assistance, please feel free to share them in the comments so I can continue to support you. I'm looking forward to your reply.

The "MAPI failure" and "Unable to Share" errors you are experiencing when trying to share files from Microsoft Office applications like Word, Excel, and PowerPoint can be frustrating. Here are several detailed steps you can take to troubleshoot and resolve these issues:

    1. Verify MAPI Settings:
      • MAPI (Messaging Application Programming Interface) must be enabled for your user account to share files. You can check this by running a PowerShell command in the Exchange Management Console:
             Set-CasMailbox ******@contoso.com -MapiEnabled $True

Replace ******@contoso.com with your actual email address. This command ensures that MAPI is enabled for your account.
    2. Set Outlook as the Default Mail Client:
      • Ensure that Outlook is set as your default mail client. To do this, go to Control Panel > Default Programs > Set your default programs. Select Outlook and set it as the default for email handling.
    3. Repair Office Installation:
      • Since you mentioned performing an online repair, ensure you follow these steps correctly:
        • Go to Control Panel > Programs and Features.
        • Select your Microsoft Office installation and click on Change.
        • Choose Online Repair and follow the prompts.
      • If the issue persists, consider uninstalling Office completely and then reinstalling it.
    4. Check Registry Settings:
      • Sometimes, incorrect registry settings can lead to MAPI errors. Check the following registry paths for the presence of the Version value:
        • For 32-bit Office on 32-bit Windows:
          HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows Messaging Subsystem\MSMapiApps
        • For 64-bit Office on 64-bit Windows:
          HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\Microsoft\Windows Messaging Subsystem\MSMapiApps
      • If the Version value is present but has no data, this could be causing the issue.
    5. Log Off and Log Back In:
      • Log off from both Outlook and Skype for Business, then log back in. This can sometimes refresh your connection and resolve MAPI-related issues.
    6. Check for Updates:
      • Ensure that your Microsoft Office applications are up to date. Go to any Office app, click on File > Account > Update Options > Update Now.
    7. Test MAPI Connectivity:
      • You can test MAPI connectivity by using tools like MFCMAPI to check if MAPI is functioning correctly. This requires some technical knowledge, so proceed with caution.

If you have tried all these steps and the issue still persists, it may be beneficial to reach out to Microsoft Support for more specialized assistance.
